JOB SUMMARY

High School Diploma or GEDFormal qualification in office administration, secretarial work, or similarPrevious experience as a PBX operator or a similar role would be advantageousProficiency in different communication systems, including analogue, Voice over IP, and ISDNExceptional ability in professional telephone etiquetteExtensive experience with answering and directing calls, as well as relaying accurate messagesAbility to maintain a call directory and schedule conference callsExperience with office software such as MS Word, Excel, and Outlook, as well as printers, copiers, scanners, and fax machinesExcellent interpersonal and communication skills.

RESPONSIBILITIES

Creating, updating, and distributing a call directory to all departmentsAnswering, screening, and forwarding calls professionally and courteously.Handling general phone inquiries about the organizationDirecting external calls to designated departments or individualsTransferring internal calls across departments and between staffSetting up and confirming scheduled and conference calls when requiredRelaying written or verbal messages in a timely and accurate mannerScheduling routine maintenance and facilitating urgent repairs of PBX equipment.Keeping records of calls placed and charges incurredAssisting with other administrative duties, including copying, scanning, faxing, and emailing
