Summary: Procurement specialist responsible for purchasing activities in a supply office, ensuring optimal mission running, and collaborating with users to understand needs.

As a Procurement Specialist, you will be responsible for performing day-to-day purchasing activities in a supply office, ensuring an optimal running of the mission. This involves analyzing market sources and competitive pricing conditions among different suppliers to guarantee the best quality and pricing for MSF goods and commodities.

  • Constantly assess the local market to identify products and suppliers that offer the best value for money and negotiate prices to ensure the best quality and pricing for MSF goods and commodities.
  • Obtain different quotations from suppliers according to the MSF Purchasing policy and place purchase orders to pre-selected suppliers with whom prices have been agreed.
  • Request invoices or receipts for all purchases, checking they are correctly filled and translated information written in local language before approval.
  • Manage administrative and accounting procedures related to purchases, including completing purchase orders, checking delivery notes against orders, and managing advances issued by the Finance Department.
  • Assist in reception control process with the storekeeper.

As a Procurement Specialist, you will also be responsible for collaborating with users to understand their needs, sourcing requests from the correct source, and creating purchase orders for articles that are not in stock. You will also be responsible for timely and correct communication with the warehouse team for delivery, managing administration and accounting procedures related to purchases, and filling and archiving all relevant documentation.

  • Collaborate with users to understand their needs and source requests from the correct source.
  • Sourcing items according to MSF policies and guidelines, honoring the purchase frame agreement in place.
  • Communicate with suppliers for timely and correct deliveries, within the agreed-upon lead times.
  • Request invoices, without delay, for all purchases, checking they are correctly filled.

Requirements:

  • Essential: Bachelor's Degree in Supply Chain or commerce-related studies.
  • Essential: 2 years working experience in supply chain-related jobs.
  • Essential: Mission language, local language Kanuri, Hausa.
  • Basic mathematics. Intermediate Excel skill essential, knowledge of working with ERP Unified is desirable.
