Executive Assistant to the Managing Director

The Executive Assistant to the MD is responsible for providing high-level administrative support, managing the MD's schedule, facilitating communication with internal and external stakeholders, and ensuring the smooth operation of daily activities. The role requires a proactive, highly organized individual with excellent communication and problem-solving skills to support the MD in driving strategic vision.

Key Responsibilities
Requirements
Education & Experience
• Bachelor's degree in Business Administration, Management, or a related field.
• Minimum of 5 years of experience in an Executive Assistant or similar role, preferably within the Fabricare or service industry.
1. Administrative Support
• Manage and maintain the MD's calendar, appointments, and meetings, ensuring efficient time management.
• Prepare and edit correspondence, presentations, reports, and other documents for the MD.
• Handle confidential information with discretion and ensure all documents are appropriately filed and organized.
2. Communication & Coordination
• Act as the primary point of contact between the MD and internal/external stakeholders.
• Draft and respond to emails, letters, and inquiries on behalf of the MD.
• Coordinate and communicate effectively with department heads, franchisees, and other business units.
3. Project Management
• Assist in planning and executing strategic projects and initiatives.
• Monitor deadlines and progress of key projects, providing updates and reports to the MD.
• Conduct research and compile data to support decision-making processes.
4. Meeting Management
• Schedule, organize, and prepare materials for meetings, including agenda preparation and minute-taking.
• Follow up on action items to ensure tasks are completed on time.
5. Travel Arrangements
• Arrange and coordinate domestic and international travel for the MD, including flight bookings, accommodations, and itineraries.
• Ensure all travel plans align with the MD's schedule and organizational priorities.
6. Operational Support
• Support the MD in managing and monitoring the implementation of CleanAce's ERP system and other operational tools.
• Provide assistance in addressing operational challenges across branches and departments.
• Act as a liaison between the MD and operational teams to ensure alignment with company objectives.
Skills & Competencies
• Exceptional organizational and time management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with ERP systems.
• Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
• Excellent problem-solving skills and attention to detail.
• Discretion and ability to handle confidential information professionally.
