Job Title: Hotel Receptionist
Job Summary:
A Hotel Receptionist serves as the first point of contact for guests and is responsible for providing exceptional customer service. This role involves handling guest check-ins and check-outs, managing reservations, addressing guest inquiries, and ensuring a smooth and pleasant experience for all visitors. The Hotel Receptionist plays a critical role in representing the hotel’s brand and maintaining high standards of hospitality.
Key Responsibilities:
1. Guest Services:
- Greet guests warmly upon arrival and provide a friendly and efficient check-in and check-out process.
- Respond to guest inquiries and provide information about the hotel’s services, facilities, and local attractions.
- Handle guest complaints and resolve issues promptly and professionally.
2. Reservations:
- Manage room reservations via phone, email, and online booking systems.
- Confirm reservations, process cancellations, and update room availability in the system.
- Coordinate with housekeeping to ensure rooms are ready for new arrivals.
3. Front Desk Operations:
- Maintain an organized and clean front desk area.
- Handle financial transactions, including guest payments, deposits, and billing inquiries.
- Maintain accurate records of guest information, payments, and other relevant data.
4. Communication:
- Liaise with other departments (housekeeping, maintenance, food and beverage) to ensure guest requests are met.
- Communicate effectively with team members to ensure smooth operations and exceptional guest experiences.
- Assist in emergency procedures and provide clear instructions to guests and staff during emergencies.
5. Administrative Duties:
- Perform clerical duties such as filing, photocopying, and managing correspondence.
- Monitor office supplies and report inventory needs.
- Assist with administrative tasks as assigned by the Front Office Manager or other supervisors.
6. Security:
- Ensure the security of guest information and maintain confidentiality.
- Monitor access to the hotel and report any suspicious activities to the security team.
- Follow hotel policies and procedures to ensure the safety and security of guests and staff.
Qualifications:
- High school diploma or equivalent; additional certification in hospitality or customer service is a plus.
- Proven experience as a receptionist, front desk representative, or similar role in the hospitality industry.
- Proficiency in hotel management software (e.g., Opera, Fidelio) and Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to work flexible hours, including nights, weekends, and holidays.
- Professional appearance and demeanor.
- Fluency in English; additional languages are a plus.
Working Conditions:
- The Hotel Receptionist works in a well-lit, climate-controlled front desk area.
- May require standing for extended periods.
