Job Summary:
The Accountant/Secretary at Akwa Ibom Transport Company (AKTC) is responsible for managing financial transactions, maintaining accurate financial records, and supporting the administrative functions of the company. The role combines accounting duties with secretarial tasks, including document management, scheduling, and coordinating office activities. The ideal candidate must have strong organizational skills, financial acumen, and excellent communication abilities.

Key Responsibilities:
1. Accounting Duties:
Financial Transactions:
Record all financial transactions including ticket sales, payments, and expenses in the company’s accounting system.
Prepare and process invoices, receipts, and bank deposits.
Reconcile daily cash receipts and bank accounts to ensure accuracy in financial reporting.
Budgeting and Reporting:
Assist in preparing monthly, quarterly, and annual financial reports for management.
Help in budget preparation and financial planning for company operations.
Maintain accurate and up-to-date records of income and expenditures for auditing purposes.
Payroll Management:
Assist in preparing payroll by calculating staff salaries, deductions, and bonuses.
Ensure timely and accurate payment of employee wages and benefits.
Tax and Regulatory Compliance:
Ensure the company’s compliance with financial regulations, including VAT, income tax, and other statutory requirements.
Prepare and file tax returns and liaise with tax authorities as needed.
Expense Tracking:
Monitor and track all company expenses, including vehicle maintenance, operational costs, and administrative expenses.
Assist in the review and approval of expenditure requests to ensure they align with the company’s budget.

2. Secretarial and Administrative Duties:
Office Management:
Maintain the smooth running of the office by organizing and managing office supplies, filing systems, and general administrative tasks.
Handle correspondence, emails, and phone calls, ensuring prompt and professional communication with clients, staff, and external partners.
Coordinate and schedule meetings, prepare agendas, and take minutes for management and departmental meetings.
Document Management:
Maintain an organized filing system for financial documents, contracts, receipts, and other business records.
Assist in preparing reports, presentations, and documents for management and other departments.
Support to Management:
Provide administrative support to the Finance Manager and Operations Manager, including organizing travel arrangements, managing calendars, and other tasks as required.
Act as a liaison between different departments, ensuring smooth communication and operational efficiency.

3. Customer Service and Stakeholder Relations:
Assist with customer inquiries related to payments, refunds, or account-related issues.
Handle inquiries from suppliers and business partners regarding payments or financial matters.
Ensure professionalism and confidentiality when dealing with sensitive information related to the company’s finances or staff matters.
Qualifications and Requirements:

Education:
Minimum of an HND/B.Sc. in Accounting, Business Administration, Finance, or related fields.
Experience:
2 years of experience in an accounting role, preferably in a transport or service-oriented company.
Experience in secretarial or administrative duties is an added advantage.

Skills:
Strong knowledge of accounting principles, bookkeeping, and financial reporting.
Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent organizational and time-management skills.
Attention to detail and high level of accuracy in handling financial information.
Strong communication skills, both verbal and written.

Other Requirements:

Strong problem-solving skills and the ability to multitask.
Ability to work independently and as part of a team.

Working Conditions:
The Accountant/Secretary works in an office environment and is expected to handle multiple tasks daily. This position may require flexibility to work extra hours, especially during financial reporting periods.
