Job Description (Summary):
As an Executive Assistant, you will serve as the Director's trusted advisor, ensuring the seamless execution of daily activities, offering strategic support, and driving operational efficiency. This role requires superior organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining confidentiality. You will be responsible for strategic planning, operational management, administrative support, and event coordination.
Strategic and Operational Management:
Act as a trusted advisor to the Executive Director, providing strategic insights and recommendations.
Manage the Director's calendar, prioritize appointments, and ensure schedule optimization.
Oversee organizational projects, events, and internal communications to ensure alignment with business objectives.
Develop and implement efficient organizational systems and processes for workflow management.
Administrative Support:
Lead and coordinate project teams to deliver organizational goals.
Serve as a liaison between clients, suppliers, and staff to enhance business relationships.
Plan and manage meetings, including agenda preparation and follow-up on actionable items.
Coordinate domestic and international travel, including detailed itinerary planning.
Documentation and Reporting:
Draft, review, and edit reports, presentations, and communications for internal and external stakeholders.
Maintain an integrated filing system for both electronic and paper-based documents.
Handle confidential information with discretion, ensuring secure management of corporate and personal data.
Event Planning and Coordination:
Plan and manage organizational events, conferences, and programs.
Coordinate facilities, invitations, speakers, and budgets for events.
Manage client-facing communications, including thank-you notes and gifts.
Technology and Office Management:
Utilize various software tools for documentation, presentations, and data management.
Manage office supplies and coordinate maintenance of office equipment.

Required Qualifications & Experience:
Bachelor's Degree in Business Administration, Management, or a related field.
Minimum of 2-3 years of experience in a similar role, providing strategic and administrative support to senior executives.
Proven experience in project management, event planning, and business operations.
Strong background in client and stakeholder engagement within professional settings.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling tools (e.g., Google Calendar, Outlook).
Excellent time management and organizational skills.
