Job Description

As a key member of our front office team, you will be responsible for maintaining the tidiness and organization of our reception area. This includes ensuring all necessary materials are readily available, such as pens, forms, and paper supplies.

When interacting with guests, you will provide a warm welcome, addressing any questions or concerns they may have. Your excellent communication skills will also be utilized to answer incoming calls, redirect them when necessary, or take messages on behalf of staff members. Additionally, you will be responsible for receiving letters, packages, and distributing them accordingly.

Your organizational abilities will also be called upon to prepare outgoing mail by drafting correspondence, securing parcels, and checking emails for forwarding. You will also be required to monitor office supplies and place orders when necessary, as well as maintain updated records and files. Furthermore, your attention to detail will be essential in monitoring office expenses and costs, taking up other duties as assigned.

Our ideal candidate will possess proven experience as a front desk representative or relevant position, familiarity with office machines, and knowledge of office management and basic bookkeeping. Proficiency in English (oral and written) is essential, along with excellent knowledge of MS Office (especially Excel and Word). Strong communication and people skills, good organizational and multi-tasking abilities, problem-solving skills, and a customer service-oriented approach are also highly valued.
