Job Summary

The Personal Assistant will play a crucial role in providing high-level administrative, secretarial, and organizational support. The PA will manage the MD's schedule, coordinate meetings, handle confidential information, assist with communication, and ensure the smooth running of executive tasks. This role requires a high degree of professionalism, discretion, and attention to detail in Imoniyame Holdings Ltd.

Job Description/Requirements

Responsibilities:

  • Manage and maintain the MD's daily schedule, appointments, and travel itineraries.
  • Screen, prioritize, and respond to phone calls, emails, and correspondence on behalf of the MD.
  • Prepare reports, presentations, and documents as requested.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action points.
  • Handle confidential and sensitive information with discretion.
  • Liaise with internal departments and external stakeholders to facilitate communication and information flow.
  • Track deadlines, projects, and tasks to ensure timely completion.
  • Maintain accurate records, filing systems, and databases.
  • Assist with the preparation and coordination of business trips, conferences, and events.
  • Perform general administrative duties and other tasks as assigned by the MD.

Requirements:

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of professionalism, discretion, and confidentiality.
  • Ability to work under pressure and meet tight deadlines
  • Strong interpersonal and problem-solving skills.
  • Exquisite personal hygiene.
