Sharpshooters Media is a leading multimedia production company based in Port Harcourt, Nigeria, delivering a full suite of creative and event management solutions to both corporate (B2B) and individual (B2C) clients.

We are currently seeking experienced Event Management Professionals to join our team as support staff under a full-time contract for a major Oil & Gas company in Port Harcourt. The engagement will initially run for three (3) years, with the possibility of a one-year extension based on performance.

The following are the positions and their job descriptions. 

Service Support Officer
Role Purpose:

The Service Support Officer serves as the daily operational bridge between our company and the client(s) ensuring that all service requests, documentation, and logistic tasks related to events, meetings, and stakeholder activities are promptly executed with precision and compliance. They provide day-to-day administrative, logistical, and client service support for all event phases, ensuring smooth coordination between departments (operations, creative, finance, and community relations) and consistent service delivery across all event projects.

Responsibilities:

  • Coordinate internal communications between project teams and vendors.
  • Track inventory and supplies (branding materials, hospitality items, logistics assets).
  • Support procurement and delivery confirmations for all event resources.
  • Provide on-site operational assistance (guest management, vendor liaison, checklists).
  • Maintain accurate documentation (attendance sheets, delivery notes, daily reports).
  • Assist with post-event demobilization and logistics reconciliation.
  • Ensure compliance with HSSE, quality, and NLNG brand standards.
  • Provide daily administrative and technical support for all corporate event-related requests at Client HQ.
  • Track, log, and process internal requests for events, meetings, travel, and hospitality logistics.
  • Coordinate vendor mobilization and documentation (LPOs, HSE clearances, pre-task risk assessments).
  • Maintain detailed records of all ongoing and completed event activities, including cost sheets and service reports.

Requirements

Minimum of B.Sc. or HND in Business Administration, Hospitality Management, Mass Communication, or Social Sciences.

  • Minimum of 3–5 years in corporate event administration, client service, or operations support within a structured organization.
  • Strong multitasking and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency with MS Office/project management tools.
  • Knowledge of basic HSE and customer service protocols.
  • Highly detail-oriented and process-driven.
  • Familiarity with corporate event logistics, procurement, and vendor coordination.

Event Coordinator
Role Summary:

The Event Coordinator acts as the executional backbone for all corporate, CSR, and stakeholder events managed under the contract. Stationed at Client HQ, this person collaborates with both internal departments and the external event management team to ensure seamless planning, coordination, and delivery of events across all Client operational locations. They oversee and execute the end-to-end coordination of assigned Client events,  from planning to on-site delivery, ensuring that every element (creative, logistics, hospitality, safety, and technical) operates seamlessly and meets quality expectations.

Responsibilities:

  • Translate project briefs and event concepts into actionable task lists.
  • Supervise vendor engagement and ensure deliverables meet contract specs.
  • Lead on-site event setup, rehearsals, and show flow management.
  • Coordinate guest registration, seating, and hospitality experience.
  • Coordinate the planning and execution of all internal and external events, including conferences, product launches, and CSR programs.
  • Develop detailed event plans, guest lists, seating arrangements, and hospitality schedules.
  • Supervise setup, décor, technical production, and guest experience from concept to execution.
  • Liaise with internal Client departments to ensure logistics, branding, and communications are aligned.
  • Maintain a rolling events calendar and ensure timely delivery of all project milestones.
  • Manage real-time issue resolution during events (vendor delays, guest needs, schedule changes).
  • Prepare post-event reports capturing attendance, outcomes, lessons learned, and vendor evaluations.

Requirements

:

  • Minimum of B.Sc. or HND in Event Management, Hospitality & Tourism, Business Administration, or Communications.
  • Certified Meeting Professional (CMP), Diploma in Event Planning & Design, or Project Management certification preferred.
  • Minimum of 5–7 years in corporate event operations, project coordination, or experiential marketing.
  • Hands-on experience with corporate and hospitality events.
  • Knowledge of health and safety standards for event sites (especially within oil & gas or high-security environments).
  • Excellent communication, multitasking, and leadership under pressure.

Conference Manager
Role Summary:

The Conference Manager oversees all aspects of conference, seminar, and high-level meeting management on behalf of Client ensuring every corporate event, whether internal or external, meets international standards of hospitality, technical precision, and stakeholder satisfaction. They plan, organize, and execute large-scale corporate conferences, seminars, and stakeholder summits with seamless flow of logistics, technical production, guest management, and communication.

Responsibilities

:

  • Develop master conference schedules (sessions, panels, workshops, breaks).
  • Liaise with Client's Corporate Communications team for content and speaker management.
  • Coordinate technical production, sound, lighting, LED, hybrid/virtual components.
  • Manage registration systems, delegate lists, and communication logistics.
  • Supervise venue setup, seating plans, exhibition booths, signage, and branding.
  • Oversee catering, F&B service, and VIP protocol.
  • Lead pre-conference briefings with vendors and internal teams.
  • Deliver comprehensive conference close-out reports, budgets, and recommendations.
  • Plan, coordinate, and supervise all conference logistics from concept to completion.
  • Manage venue scheduling, equipment setup, multimedia support, and delegate coordination.
  • Design conference workflows: registration, documentation, accreditation, transportation, and catering.
  • Ensure strict adherence to Client HSSE standards and event management SOPs.
  • Maintain detailed run-sheets, cue cards, and event timelines for all sessions.
  • Coordinate VIP and protocol management for executive attendees, government officials, and partners.

Requirements

  • Minimum of B.Sc. in Mass Communication, Event Management, Hospitality, or Public Relations.
  • Certified Conference & Event Manager (CCEM), Project Management Professional (PMP), or similar certification preferred.
  • Minimum 5 years experience in conference and/or event management, preferably in the energy, oil & gas, or corporate communication sectors.
  • Demonstrated experience handling multi-day conferences, exhibitions, and executive stakeholder events.
  • Understanding of HSE, quality, and brand compliance for corporate clients.
  • Deep knowledge of conference protocol, accreditation systems, AV and hybrid event systems.
  • Excellent organizational, negotiation, leadership and interpersonal skills with high emotional intelligence.
  • Deep understanding of professional conference management, protocol, and corporate communication.

Event Management Quality Associate (QA/QC Officer)
Role Summary:

The Quality Associate ensures that all event deliverables, processes, and service outputs meet the quality, safety, and brand standards expected by Client. They serve as the on-site auditor for quality control, brand compliance, and vendor performance under the Events Management Contract by monitoring compliance, materials and services, and documenting corrective actions for continuous improvement.

Responsibilities:

  • Inspect all event deliverables (print, décor, stage, lighting, catering, etc.) before final approval.
  • Conduct vendor audits to ensure compliance with standards and SLAs.
  • Work with the HSE team to verify adherence to safety and housekeeping requirements.
  • Document deviations and coordinate corrective actions with Operations and Creative teams.
  • Monitor client feedback and integrate into future improvement plans.
  • Compile quality performance data for management review and Client reporting.
  • Support post-event evaluation and performance scoring.
  • Monitor and audit event setup, branding, logistics, hospitality, and vendor deliverables for conformity with approved standards.
  • Maintain and update event-specific QA/QC checklists for quality control and HSSE compliance during event execution.
  • Conduct pre-event inspections and post-event evaluations in collaboration with HSE and Project Managers.
  • Verify that all vendors adhere to Client brand guidelines, waste management protocols, and safety procedures.
  • Collaborate with the Service Support Officer to document and track recurring issues and vendor feedback.

Requirements:

  • Minimum of

B.Sc. or HND in Quality Management, Environmental Science, Engineering, or Hospitality Management.
- ISO 9001:2015 Lead Auditor Certification, Occupational Health and Safety (NEBOSH, IOSH, or equivalent), Quality Assurance/Control (QA/QC) or HSSE Certification preferred
- Knowledge of quality management systems (ISO 9001 or event-based frameworks).
- Familiarity with event production standards (materials, safety, branding).
- Strong documentation and reporting skills.
- Neutral, fair, and consistent approach to quality enforcement.
- Experience in quality control, event auditing, or corporate compliance.
- Strong attention to detail and documentation discipline.
- Analytical mindset with a proactive approach to problem-solving.
