Job Title: Administrative Officer

Job Summary:
We are seeking a highly organized and detail-oriented Administrative Officer to support the daily operations of our souvenirs and gift sales business. The ideal candidate will handle administrative tasks, sales support, inventory coordination, and customer documentation to ensure smooth business operations.
Key Responsibilities:
Administrative & Office Support
- Manage daily office administration and documentation
- Handle phone calls, emails, and walk-in inquiries professionally
- Prepare invoices, receipts, delivery notes, and basic reports
- Maintain organized filing systems (physical and digital)
Sales & Customer Support
- Support the sales team with order processing and customer records
- Follow up on customer orders, deliveries, and payments
- Assist in preparing quotations and sales documentation
- Maintain customer database and sales records
Inventory & Operations Support
- Track inventory levels of souvenirs and gift items
- Coordinate with suppliers and vendors when required
- Assist in stock reconciliation and reporting
- Monitor stock movement and flag low-stock items
Financial & Record Keeping
- Assist with daily sales reconciliation and cash records
- Support basic bookkeeping and expense tracking
- Prepare summary reports for management review
Requirements:
- OND/HND/BSc in Business Administration or related field
- Previous experience in an admin or sales support role is an advantage
- Good computer skills (MS Word, Excel, email)
- Strong organizational and multitasking skills
- Good communication and customer service skills
- Honest, reliable, and detail-oriented
- Ability to work independently and as part of a team
Working Days & Hours:
- Monday – Saturday
- 9:00am – 6:00pm
