Receptionist / Front Desk Officer
Reporting To:
Administrative Manager
Job Overview:
A receptionist's role is multifaceted and involves managing the front desk, greeting visitors, handling communications, and providing administrative support. Your job responsibilities would include but not be limited to the following.
Key Responsibilities
a) Welcome visitors, clients, or customers in a professional and friendly manner.
b) Handle visitor logs, issue badges, and ensure security protocols are followed.
c) Maintain a clean, organized, and welcoming reception area.
d) Handle documents as well as package delivery and dispatch.
e) Manage schedules, appointments, and bookings for staff members.
f) Booking meeting rooms and ensuring they are properly equipped.
g) Provide administrative support, such as data entry, filing, and photocopying.
h) Making brief presentation about the company to clients when there is a need.
i) Prepare and distribute reports, documents, and other materials as needed.
j) Liaising with maintenance staff for office upkeep.
k) Collaborate with other departments to ensure smooth operations.
l) Stay up-to-date with company policies, procedures, and news.
m) Participate in training and development opportunities to improve skills and knowledge.
n) Perform other administrative tasks as required.
Qualifications:
- Degree in Administration, Communication or a related field
- Phone Etiquette and Communication skills
- Receptionist Duties and Clerical Skills proficiency
- Strong Customer Service abilities
- Ability to multitask and prioritize effectively
- Previous experience in a similar role is a plus
- Excellent organizational and time management skills
- Mandarin speaking is an added advantage
