Monitor work schedules of support services staff -drivers and logistics officer, guiding and training to ensure efficient servicedelivery.Maintain accurate records and filing systems.Coordinate and manage office supplies and equipment.Provide C -Level business support to ExecutiveManagement as needed.Oversee the maintenance, cleanliness, and safety ofthe organization's facilities.Coordinate with external vendors and serviceproviders for facility repairs, maintenance, and security systems.Conduct regular inspections to identify and addressany facility -related issues or safety concerns.Ensure compliance with health and safety regulationsand emergency preparedness protocols.Ensure compliance with health and safety regulationsand maintain proper documentation.Conduct regular safety inspections and implementcorrective actions as necessary.Coordinate emergency response procedures and conductdrills when required.Support in the preparation of weekly HSE schedulesand presentations.Identify, select, and manage relationships withvendors and service providers for facility -related services.Manage relationships with vendors and serviceproviders, including negotiating contracts and ensuring service levelagreements are met.Develop and implement efficient fleet managementstrategies and procedures.Ensure compliance with applicable laws, regulations,and safety standards related to fleet operations.Maintain accurate and up -to -date records of vehicleinventory, maintenance, repairs, and inspections. Requirements What we are lookingfor:Education:• Bachelor's degree in Business Administration,Office Management, Facilities Management, Logistics, or a related field.• Additional certifications in Facility Management,Procurement, HSE, or Fleet Management are an advantage.• Proficiency in Microsoft Office Suite (Word,Excel, PowerPoint) and office management software is required. Experience:• Minimum of 3–5 years' experience in officeadministration, facility management, and executive support.• Hands -on experience in coordinating officesupplies, equipment procurement, and facility maintenance to ensure seamlessoperations.• Experience providing C -level business support toExecutive Management, including scheduling, correspondence, and confidentialdocument handling.• Experience in monitoring and supervising supportstaff, including drivers and logistics personnel, to ensure efficient servicedelivery.• Strong ability to maintain accurate records,filing systems, and document control for compliance and organizationalefficiency.• Experience in fleet management, including vehicleinventory tracking, maintenance coordination, and ensuring regulatorycompliance.
