JOB DESCRIPTION – EXECUTIVE ASSISTANT (EA)
Position: Executive Assistant
Reports to: Managing Director (MD)
Location: Lagos/Abuja (Hybrid Role)

- ROLE OVERVIEW
The Executive Assistant provides high-level administrative, operational, and strategic support to the Managing Director. The role ensures that the MD is organized, focused, and able to maximise productivity across all business units—student recruitment, partnerships, marketing, operations, and new ventures. The EA serves as the MD's right hand, helping to manage schedules, communication, project execution, and follow-through.
This role requires someone who is highly organized, proactive, tech-savvy, discreet, reliable, and comfortable working at a fast pace.
- KEY RESPONSIBILITIES
A. Executive Support & Administration
• Manage the MD's calendar, schedule meetings, coordinate internal and external appointments.
• Prepare meeting briefs, background notes, and ensure MD is fully equipped ahead of all engagements.
• Manage emails, draft professional correspondence, and follow up on outstanding communications.
• Maintain organized systems for documents, reports, and sensitive information.
• Take minutes during meetings and track action items through completion.
B. Operations & Workflow Management
• Coordinate with all departments (Recruitment, Finance, Operations, Marketing) to ensure tasks from the MD are executed.
• Support in monitoring KPIs, team performance, deadlines, and operational processes.
• Manage travel planning, itineraries, and logistics for domestic and international trips.
• Assist with event planning (school fairs, partnerships meetings, internal trainings, workshops, conferences).
C. Project Management
• Assist in the execution of major projects (e.g., partnerships, recruitment tours, marketing campaigns, product development).
• Track project timelines, deliverables, and send reminders to stakeholders.
• Conduct light research and prepare summaries or briefing documents when needed.
D. Communication & Stakeholder Management
• Serve as the first point of contact for certain high-level partners
• Maintain professional communication and nurture business relationships on behalf of the MD.
• Handle confidential and sensitive information with discretion.
E. Reporting & Documentation
• Prepare weekly reports for the MD including activity summaries, pending tasks, upcoming deadlines, and risk alerts.
• Support the creation of proposals, presentations, and business documents.
• Monitor and update CRM entries for high-level clients or partners when required.
- REQUIRED SKILLS & QUALIFICATIONS
• Bachelor's degree in Business Administration, Communications, Social Sciences or related fields.
• 2–5 years' experience in an EA, Operations or Administrative role supporting senior executives.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Tech-savvy: proficient in Google Workspace, Microsoft Office Suite, CRM tools, scheduling software, and digital productivity tools.
• Ability to prioritise, multitask and work independently with minimal supervision.
• Strong emotional intelligence, confidentiality, and discretion.
• Ability to work in a fast-paced environment and manage multiple ongoing tasks.
