Personal Assistant to the MD

Role Overview
The Personal Assistant (PA) to the Managing Director will provide high-level administrative, operational, and personal support to ensure the MD's time is effectively managed and business operations run smoothly. The ideal candidate is proactive, highly organized, and adaptable—able to support a fast-paced hospitality environment that includes restaurant operations, catering projects, and executive coordination.
Key Responsibilities
Administrative & Executive Support
Manage the MD's calendar, appointments, meetings, and travel logistics.
Screen and prioritize emails, calls, and correspondence.
Prepare reports, meeting briefs, and presentation materials as required.
Handle confidential information with discretion and professionalism.
Draft, proofread, and format internal and external communications.
Operational Support
Liaise with outlet managers, catering teams, and vendors to track deliverables and deadlines.
Assist in monitoring and following up on operational tasks, procurement requests, and project timelines.
Support coordination of catering jobs and special events as directed by the MD.
Maintain an overview of key operational schedules, ensuring the MD is updated on priorities.
Personal Assistance
Handle personal errands and tasks for the MD as required.
Manage travel, logistics, and ad-hoc personal requests efficiently.
Maintain flexibility to support both business and personal commitments, including evenings or weekends when necessary.
Relationship Management
Serve as the MD's representative in liaising with internal teams, clients, and partners.
Support with correspondence, meeting coordination, and follow-up communication.
Ensure professional representation of the MD and the company at all times.
Qualifications & Experience
Bachelor's degree in Business Administration, Hospitality, or related field preferred.
5+ years' experience as a Personal Assistant, Executive Assistant, or Administrative Officer (preferably in hospitality, events, or FMCG).
Excellent communication (written and verbal) and interpersonal skills.
Strong multitasking, time management, and organizational abilities.
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Ability to handle sensitive matters with discretion and integrity.
Flexible, resourceful, and willing to work beyond standard office hours when required.
