Role Overview

The Personal Assistant (PA) to the Managing Director will provide high-level administrative, operational, and personal support to ensure the MD's time is effectively managed and business operations run smoothly. The ideal candidate is proactive, highly organized, and adaptable—able to support a fast-paced hospitality environment that includes restaurant operations, catering projects, and executive coordination.

Key Responsibilities

Administrative & Executive Support

  • Manage the MD's calendar, appointments, meetings, and travel logistics.

  • Screen and prioritize emails, calls, and correspondence.

  • Prepare reports, meeting briefs, and presentation materials as required.

  • Handle confidential information with discretion and professionalism.

  • Draft, proofread, and format internal and external communications.

Operational Support

  • Liaise with outlet managers, catering teams, and vendors to track deliverables and deadlines.

  • Assist in monitoring and following up on operational tasks, procurement requests, and project timelines.

  • Support coordination of catering jobs and special events as directed by the MD.

  • Maintain an overview of key operational schedules, ensuring the MD is updated on priorities.

Personal Assistance

  • Handle personal errands and tasks for the MD as required.

  • Manage travel, logistics, and ad-hoc personal requests efficiently.

  • Maintain flexibility to support both business and personal commitments, including evenings or weekends when necessary.

Relationship Management

  • Serve as the MD's representative in liaising with internal teams, clients, and partners.

  • Support with correspondence, meeting coordination, and follow-up communication.

  • Ensure professional representation of the MD and the company at all times.

Qualifications & Experience

  • Bachelor's degree in Business Administration, Hospitality, or related field preferred.

  • 5+ years' experience as a Personal Assistant, Executive Assistant, or Administrative Officer (preferably in hospitality, events, or FMCG).

  • Excellent communication (written and verbal) and interpersonal skills.

  • Strong multitasking, time management, and organizational abilities.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace.

  • Ability to handle sensitive matters with discretion and integrity.

  • Flexible, resourceful, and willing to work beyond standard office hours when required.
