Role Overview
We are seeking an experienced and organized
Facility Manager
to oversee the management, maintenance, and operational efficiency of its physical office and related facilities.
The ideal candidate will ensure that the workspace is safe, functional, and conducive to productivity. This role involves managing vendors, assets, maintenance schedules, and compliance with health, safety, and environmental standards. The Facility Manager will also play a strategic role in supporting operations, optimizing workspace utilization, and fostering a professional and collaborative office environment.
Key Responsibilities
Facilities Management & Maintenance
- Oversee the day-to-day management and upkeep of the office facility and related infrastructure.
- Ensure the office environment is clean, safe, and fully functional at all times.
- Develop and implement preventive maintenance schedules for all equipment and utilities.
- Coordinate repairs, renovations, and upgrades as needed.
Vendor & Asset Management
- Manage relationships with service providers (cleaning, security, utilities, IT support, and maintenance vendors).
- Negotiate and manage contracts to ensure cost efficiency and quality service delivery.
- Maintain an updated inventory of office assets, equipment, and supplies.
- Monitor procurement processes and ensure accountability for all facility-related expenditures.
Health, Safety & Compliance
- Ensure full compliance with health, safety, and environmental regulations.
- Implement workplace safety programs, emergency procedures, and periodic safety drills.
- Conduct risk assessments and ensure corrective actions are promptly implemented.
Space Planning & Optimization
- Support workspace planning to enhance functionality and efficient use of office space.
- Coordinate office moves, furniture layouts, and workspace improvements.
- Contribute to creating a professional, comfortable, and collaborative work environment.
Administrative & Operational Support
- Support the Operations team in logistical planning for meetings, workshops, and special events.
- Oversee utilities management (power, internet, water, etc.) and ensure uninterrupted services.
- Manage facility-related budgets and prepare regular operational reports.
Qualifications
- Bachelor's degree in Facility Management, Engineering, Business Administration, or a related field.
- 2–4 years of experience in facility or operations management, preferably in a corporate, consulting, or development organization.
- Strong understanding of building systems, maintenance processes, and vendor management.
- Excellent organizational and project management skills.
- Knowledge of health, safety, and environmental regulations.
- Proficiency in Microsoft Office Suite; experience with facility management software is an advantage.
