The Planning/Documentation Superintendent is responsible for coordinating vessel operations, documentation, and logistics planning to ensure efficient cargo handling and accurate record management. The role involves liaising with internal and external stakeholders, supervising documentation processes, and optimizing operational performance at the terminal.

Key Responsibilities

  • Liaise with shipping lines to obtain vessel pre-arrival documents and share with relevant stakeholders.
  • Review cargo manifests and stowage plans; propose required manpower and equipment.
  • Develop warehouse and yard plans to optimize space utilization and cargo flow.
  • Coordinate with procurement for equipment sourcing and vendor management.
  • Liaise with SIMCO and agents to coordinate vessel schedules and cargo movement.
  • Monitor vessel operations, track progress, and adjust plans as necessary.
  • Supervise the Administrative Officer to ensure proper documentation of all inbound and outbound cargo.
  • Review vendor invoices to confirm alignment with operational records and process approved invoices for payment.
  • Monitor documentation and analysis of daily discharges from vessels at berth.
  • Verify cargo quantities before exit from the terminal.
  • Document ship movements at berth.
  • Prepare Import Shipping Operations Summary (ISOS).
  • Address all queries arising from improper documentation.
  • Plan and monitor weighbridge operations, ensuring timely and accurate reporting.

Qualifications & Experience

  • Bachelor's degree in Logistics, Maritime Studies, Business Administration, or related field.
  • Minimum of 5 years' experience in port operations, logistics planning, or maritime documentation.
  • Strong knowledge of vessel operations, cargo handling, and terminal management.
  • Proficiency in MS Office Suite and operational documentation tools.
  • Excellent organizational, analytical, and communication skills.
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
