JOB SUMMARY
Requirements and SkillsProven work experience as a Personal Secretary & Admin OfficerHND / Bachelor's Degree in Office Management and other related disciplineProficiency in Computer System & MS OfficeExcellent verbal and written communication skillsDiscretion and confidentialityKnowledge of office management systems and proceduresMS Office and English proficiencyOutstanding organisational and time management skillsUp-to-date with the latest office gadgets and applicationsAbility to multitask and prioritize daily workloadPA diploma or certification would be an advantage
RESPONSIBILITIES
Update entries in the systemManage MD calendar / meeting wellBook keepingUpdate vouchersAct as the point of contact between the manager and internal/external clientsScreen and direct phone calls and distribute correspondenceHandle requests and queries appropriatelyManage diary and schedule meetings and appointmentsMake travel arrangementsTake dictation and minutesSource office suppliesProduce reports, presentations and briefsDevise and maintain office filing system
REQUIRED SKILLS
Reporting, Document and archive management, Office administration, management, Answering telephones and call management, Calendar management, Typing and note taking, Travel planning and reservations (leisure, business)
