Job Summary

The Africa International Housing Show (AIHS) is seeking a highly organized, proactive, and experienced
Executive Management Assistant
to provide high-level administrative, operational, and strategic support to executive leadership. This is a senior position requiring a minimum of
5 years of relevant professional experience
supporting top-level executives.

The successful candidate will serve as a trusted liaison between executive management and internal/external stakeholders, ensuring efficient coordination, confidentiality, and smooth execution of executive priorities, projects, and events.

Key Responsibilities
Executive & Strategic Support

  • Provide comprehensive administrative and operational support to executive management.
  • Manage executive schedules, calendars, meetings, and travel arrangements.
  • Prepare briefing documents, reports, presentations, minutes of meetings and executive correspondence.
  • Manage flight bookings and travel arrangements
  • Track executive action items and ensure timely follow-up on strategic initiatives.

Communication & Stakeholder Coordination

  • Serve as the primary point of contact between executives and internal teams, partners, government agencies, investors, and international stakeholders.
  • Be aavailable to take calls and respond to messages promptly
  • Social media presence and ability to promote company online is an added advantage
  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Coordinate high-level meetings, board sessions, and executive briefings.

Project & Event Coordination

  • Support planning and execution of AIHS flagship events, meetings, and conferences.
  • Coordinate logistics, documentation, timelines, and stakeholder communications related to executive projects.
  • Monitor progress of key initiatives and provide status updates to management.

Office & Operations Management

  • Assist with workflow coordination across departments to ensure alignment with executive directives.
  • Manage staff
  • Maintain organized records, filing systems, and documentation for executive use.
  • Support procurement, vendor coordination, and administrative processes as required.

Research & Reporting

  • Conduct research on housing, real estate, policy, and industry trends relevant to AIHS.
  • Compile data and prepare analytical reports to support executive decision-making.

Qualifications and Requirements

  • Bachelor's degree in Business Administration, Management, Public Administration, or a related field.
  • Minimum of
    5 years' proven experience
    as an Executive Assistant, Management Assistant, or similar senior administrative role supporting executive leadership.
  • Experience working with senior executives, boards, or high-level stakeholders.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, and multitasking abilities.
  • High level of discretion, integrity, and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and digital collaboration tools.
  • Ability to work under pressure, manage competing priorities, and meet deadlines.
