Role Summary
The Executive Assistant to the Group CEO provides high-level, strategic, and operational support to ensure the smooth and effective running of the GCEO's office. This role requires exceptional maturity, attention to detail, problem-solving skills, and the ability to anticipate needs before they arise.
The EA serves as the GCEO's right hand, coordinating schedules, managing priorities, streamlining communication, preparing strategic documents, and ensuring the GCEO's daily, weekly, and monthly workflows are organised and efficient. The role demands professionalism, emotional intelligence, strong judgment, and absolute confidentiality.
Role Purpose
The EA enhances the productivity and effectiveness of the Group CEO by:
- Managing executive workload, priorities, and time
- Acting as a strategic support leader across subsidiaries
- Ensuring seamless coordination between the GCEO and stakeholders
- Providing analytical support, documentation, and follow-up on all commitments
- Managing personal and professional engagements without compromising boundaries
- Ensuring that decisions, meetings, communication, and deliverables move with speed, accuracy, and maturity
This is a role for a highly intelligent, proactive, polished, and dependable professional capable of operating at senior leadership level.
Core Responsibilities
1- Executive & Strategic Support
- Manage, prioritise, and coordinate the GCEO's daily schedule, travel, calls, briefings, and engagements.
- Anticipate needs and prepare the GCEO ahead of every meeting with briefs, summaries, and talking points.
- Support the GCEO in strategic initiatives, research, and special projects across all subsidiaries.
- Ensure follow-through on GCEO directives, tracking progress until completion.
2- Communication & Correspondence
- Draft high-quality emails, memos, letters, proposals, and executive documents on behalf of the GCEO.
- Filter communication to ensure only priority matters reach the GCEO.
- Prepare communication briefs for public appearances, board meetings, and executive sessions.
- Maintain confidentiality in all matters relating to the GCEO and the group.
3- Meetings, Documentation & Reporting
- Coordinate executive meetings, prepare agendas, take minutes, and track action points.
- Ensure all board, management, and investor meeting documents are organised and available ahead of time.
- Conduct research and compile reports for strategic decision-making.
- Follow up on outstanding tasks with other executives and departments.
4- Stakeholder Relationship Management
- Act as first point of contact between the GCEO and internal/external stakeholders.
- Manage relationships with directors, partners, clients, regulators, and government bodies.
- Handle sensitive and confidential information with discretion and professionalism.
5- Personal & Executive Life Management
- Manage personal schedules, appointments, travel, and lifestyle engagements as required.
- Ensure smooth transition between personal and business commitments.
- Maintain organised records, files, subscriptions, reminders, and personal documentation.
6- Office & Process Management
- Oversee the effective functioning of the GCEO's office.
- Implement organisational systems that improve speed, clarity, and workflow.
- Coordinate with HR, Admin, Finance, and Operations on GCEO-related matters.
- Support internal communication flow between subsidiaries and the Group Office.

Qualifications
- BSc in Business Administration, Management, Social Sciences, or related field
- MBA is an added advantage
- 5+ years proven EA experience supporting a GCEO or top-level executive
- Experience working in a group structure or high-growth organisation is preferred
