Executive Assistant/Chief of Staff

Reports To: CEO
Role Summary
We are hiring a proactive and highly organized Executive Assistant to support the CEO with executive responsibilities, strategic execution, governance oversight, and administrative coordination. The ideal candidate is polished, smart, resourceful, and capable of representing the CEO professionally both internally and externally.
This role requires strong communication skills, maturity, forward-thinking ability, and the confidence to manage priorities and communicate with senior stakeholders.
Key Responsibilities
Executive Support
- Manage and organize the CEO's calendar, meetings, appointments, and travel arrangements.
- Prepare correspondence, business documents, presentations, reports, and meeting briefs.
- Serve as gatekeeper—prioritizing requests, communications, and follow-up actions.
Strategic & Governance Support
- Track company projects and ensure alignment with strategic objectives.
- Maintain policies, governance documentation, executive files, and confidential records.
- Monitor and report on business KPIs, timelines, and deliverables.
Meeting Representation & Coordination
- Attend meetings on behalf of the CEO when required.
- Capture meeting minutes, action items, and ensure timely follow-through.
- Communicate updates and decisions to relevant stakeholders.
Reporting & Administrative Oversight
- Prepare weekly, monthly, and quarterly executive reports and dashboards.
- Maintain structured filing, documentation, and communication workflow.
- Liaise across departments to support smooth operations and efficient leadership alignment.
Requirements
- Bachelor's Degree in Business Administration, Management, Communications, or related field.
- 4-6 years experience
as a PA, Chief of Staff, Executive Assistant, or similar role. - Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Exceptional time management, discretion, and multitasking ability.
- Ability to maintain confidentiality and handle sensitive information with integrity.
