Financial Analyst

The Finance Analyst will play a pivotal role in maintaining financial accuracy, efficiency, and compliance across various financial functions. This role involves daily updates, reconciliation, budgeting support, and performance analysis. The Finance Analyst will also collaborate with cross-functional teams to ensure timely financial reporting, superior customer service, and operational efficiency. By managing transactions, payments, and budgeting, the Finance Analyst will support company profitability and helps streamline financial processes while upholding the highest standards in financial controls and customer service.

Key Responsibilities:

Financial Reporting and Analysis

1. Ensure QuickBooks is updated daily with accurate and comprehensive records of all transactions, including bank accounts, MoMo, and cash, to maintain reliable financial data.
2. Conduct thorough reconciliations of payments across admin systems, aligning payments with received funds from iPay, bank deposits, and mobile money.
3. Generate and issue receipts promptly for all completed deliveries or received payments to maintain accuracy in transactional records.
4. Carefully review payments from third-party processors for correctness, proactively collaborating to resolve any discrepancies.
5. Retrieve detailed monthly Mobile Money reports to analyze transaction activity, identifying trends and ensuring data integrity.

Performance Management and Development

1. Engage in continuous professional development, applying newly acquired skills to elevate overall financial service standards.
2. Consistently meet and strive to exceed performance targets as defined in the KPI document, supporting the achievement of departmental goals.
3. Proactively collaborate with departments to enhance service delivery standards, ensuring efficient resolution of customer inquiries and issues.

Invoice and Payment Management:

1. Efficiently create and distribute customer invoices for due fees, ensuring prompt billing and streamlined revenue collection.
2. Actively follow up on outstanding invoices within two business days, sending timely reminders to maintain consistent cash flow.
3. Monitor and track employee purchases, implementing payroll deductions for loans as necessary to ensure accurate accounting.
4. Guarantee timely salary payments to employees and contractors, prioritizing completion by the 25th of each month.
5. Develop a robust system to track outstanding member payments, ensuring proactive follow-up and resolution of overdue accounts.
6. Ensure refund requests are addressed swiftly and processed accurately to maintain high standards of customer satisfaction.

Budgeting and Financial Planning

1. Assist in the preparation of precise and comprehensive annual budgets, contributing to financial planning with a preliminary draft ready by November.
2. Monitor transaction fees for bank accounts, identifying opportunities to reduce costs and maximize account efficiency.
3. Support revenue growth by identifying areas to exceed financial income projections, while actively managing and reducing unnecessary expenses.
4. Identify unprofitable company activities, proposing strategies to optimize resources and eliminate financial inefficiencies.
5. Actively work to reduce costs across operations, implementing strategies to boost profitability without compromising quality.

Financial Controls and Compliance

1. Verify that only fully paid items are released to customers, enforcing stringent payment controls to prevent revenue loss.
2. Compile and deliver monthly reports detailing concierge fees, duties collected, service revenue, shipping expenses, and customs duties for transparency.
3. Generate weekly reports for profit and loss, balance sheets, and transaction verifications to maintain accuracy in financial tracking.
4. Complete payment tracker reports for shipments on schedule to streamline logistics and payment workflows.
5. Ensure sufficient funds are available for immediate import/export shipments and customs clearance to avoid delays.
6. Manage company deposits and withdrawals, maintaining strict control over cash flow and operational funds.
7. Monitor and promptly flag suspicious activity, reporting any concerns to management to safeguard financial integrity.
8. Uphold compliance with relevant regional and national regulations, reinforcing the company's commitment to ethical standards.

Operations Support and Customer Service

1. Respond to concierge purchase requests within 15 minutes, ensuring rapid service to enhance customer satisfaction.
2. Track daily purchases diligently, addressing potential processing issues or cancellations to maintain smooth operations.
3. Notify the Operations team immediately of all incoming Mobile Money payments for accurate tracking and coordination.
4. Create internal tickets for issues such as refunds or lost/damaged items to streamline problem resolution across departments.
5. Work closely with the development team to test and deploy new payment processing features, ensuring system reliability.
6. Provide expert user support for payment-related inquiries, offering prompt assistance to internal and external stakeholders.
7. Maintain exemplary customer service standards, prioritizing clear and responsive communication with all customers.
8. Quickly learn and adapt training materials for new processes to stay current with financial protocols and tools.

Performance Metrics and Reporting

1. Track and report on critical financial metrics, including revenue growth, profitability, and financial sustainability, contributing to strategic goals.
2. Monitor key internal processes for continuous improvement, ensuring timely and accurate financial reporting.
3. Support cross-functional collaboration to enhance customer satisfaction and respond effectively to internal and external requests.
4. Track error rates, completion rates, and submission times, providing insights to refine financial accuracy and reporting efficiency.

Salary Range: 300,000N - 350,000N
