Role Overview

The
Head of Operations
is responsible for translating TEDxMaitama's vision into seamless execution. This role oversees day-to-day operations, event logistics, systems, people coordination, and process optimization to ensure that all TEDxMaitama programs, conferences, salons, webinars, and digital initiatives are delivered on time, within budget, and to global TEDx standards.

This is a leadership role for a highly organized, detail-oriented operator who thrives in fast-paced, creative environments and can manage complexity across teams, partners, and timelines.

Key Responsibilities

Operational Leadership

• Lead and manage all operational functions across TEDxMaitama events, programs, and initiatives
• Translate strategic plans into clear operational roadmaps, timelines, and execution frameworks
• Build and enforce standard operating procedures (SOPs) for events, content production, and internal workflows

Event & Program Execution

• Oversee end-to-end planning and execution of TEDxMaitama conferences, salons, webinars, and special projects
• Manage logistics including venues, vendors, production teams, travel, accommodation, and on-site operations
• Ensure all events meet TEDx brand, quality, and compliance guidelines

Team & Volunteer Management

• Coordinate cross-functional teams including curation, marketing, partnerships, media, and volunteers
• Support recruitment, onboarding, scheduling, and performance tracking of operations staff and volunteers
• Foster a culture of accountability, collaboration, and operational excellence

Budgeting & Resource Management

• Work closely with Finance to develop and manage operational budgets
• Track expenses, negotiate vendor contracts, and optimize cost efficiency
• Ensure resources are allocated effectively across projects

Systems, Processes & Risk Management

• Implement tools and systems to improve productivity, communication, and reporting
• Identify operational risks and proactively develop mitigation plans
• Ensure compliance with safety, legal, and organizational requirements

Stakeholder & Partner Coordination

• Serve as the primary operational liaison with vendors, venues, sponsors, and partners
• Support partnership activation and deliverables from an operational standpoint

Qualifications & Experience

• Bachelor's degree in Business Administration, Operations Management, Project Management, or a related field (MBA or PMP is an advantage)
• 5+ years of experience in operations, project management, or event management, preferably in media, nonprofits, or large-scale events
• Proven experience managing complex projects with multiple stakeholders
• Strong organizational, leadership, and problem-solving skills
• Excellent communication and interpersonal skills
• Ability to work under pressure and manage multiple priorities simultaneously
