Job Summary
- The Scheduling Officer is responsible for developing, maintaining, and optimizing bus schedules to ensure efficient, reliable, and cost-effective service delivery.
- This role involves creating and adjusting daily, weekly, and monthly timetables for drivers and buses, monitoring schedule adherence, and making necessary adjustments to meet operational demands while maintaining high service standards
Schedule Planning and Development:
- Develop and maintain daily, weekly, and monthly schedules for vehicle maintenance, repairs, and service appointments.
- Plan schedules based on customer demand, technician availability, and parts inventory to minimize downtime and maximize service efficiency.
Appointment Management:
- Manage and schedule customer service appointments, ensuring that timelines are met and customer satisfaction is maintained.
- Monitor the progress of scheduled jobs to ensure timely completion and address any delays or issues that may arise.
Monitoring and Adjustments:
- Analyze schedule performance data to identify trends and suggest improvements for optimizing route efficiency and service reliability.
- Collaborate with Control Room Operators and the Driver Manager to implement schedule changes in response to unforeseen circumstances such as traffic delays, vehicle breakdowns, or road closures.
Communication and Coordination:
- Communicate schedules and any changes to drivers, ensuring clarity on assignments and start times.
- Liaise with Depot Officers and the Driver Manager to ensure efficient allocation of drivers and quick resolution of any scheduling conflicts.
Data Management and Reporting:
- Maintain accurate and up-to-date records of all schedules, including any changes or adjustments made.
- Prepare and present reports on schedule adherence, efficiency, and areas for improvement to the Planning Manager and other stakeholders.
Compliance and Regulations:
- Ensure that all schedules comply with regulatory requirements, including those governing driver hours, rest periods, and safety standards.
- Monitor compliance with internal policies related to scheduling and driver assignments, addressing any discrepancies as they arise.
Continuous Improvement:
- Identify opportunities for improving the efficiency and effectiveness of the scheduling process.
- Stay informed about industry trends and advancements in scheduling tools and techniques, applying relevant insights to improve operations.
Key Requirements
- Bachelor’s Degree in Business Administration, Transportation Management, Operations Management, or a related field.
- 2-3 years in scheduling, operations, or a related role in the transportation or logistics industry.
- Strong Organizational and time-management skills.
- Excellent organizational, time-management, and problem-solving abilities.
- Strong communication and interpersonal skills for interacting with customers and internal teams
- Proficient in using scheduling software and other related tools e.g., Excel, transit scheduling systems.
