JOB SUMMARY
Job Requirements Bachelor's degree, OND or HND in Business Administration, Office Management, or related field preferred. Proven experience in a receptionist, front desk officer, or administrative support role, preferably in the security services industry. Excellent verbal and written communication skills, with a professional and courteous demeanor. Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively. Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with office equipment. Ability to maintain confidentiality and handle sensitive information with discretion and integrity. Customer-focused mindset with a commitment to delivering exceptional service to clients and visitors. Flexibility to adapt to changing priorities and work occasional evenings or weekends as needed. Knowledge of security protocols and procedures is advantageous but not required.
RESPONSIBILITIES
Job Objectives As we continue to expand our operations, we are seeking a diligent and customer-focused Front Desk Administrative Officer to join our team and play a key role in supporting our daily operations. As the Front Desk Administrative Officer, you will serve as the face of our company, providing exceptional customer service and administrative support to clients, visitors, and employees. You will be responsible for managing the front desk operations, handling inquiries, and performing a wide range of clerical tasks to ensure the smooth functioning of our office. The ideal candidate will be highly organized, detail-oriented, and adept at multitasking in a fast-paced environment.Principal Duties / DutiesClient and Visitor Relations: Greet and welcome clients, visitors, and employees with warmth and professionalism. Answer phone calls, emails, and in-person inquiries promptly and courteously. Provide information about our security services, company policies, and procedures. Direct clients and visitors to the appropriate person or department as needed.Administrative Support: Schedule appointments, meetings, and conference room reservations for staff members. Maintain electronic and physical filing systems, ensuring accurate and organized records. Assist with data entry, document preparation, photocopying, and scanning as required. Manage incoming and outgoing mail, packages, and deliveries, including courier services.Office Operations: Ensure the reception area is clean, organized, and presentable at all times Monitor and maintain office supplies inventory, ordering supplies as needed. Coordinate maintenance and repairs for office equipment and facilities. Support other departments with administrative tasks and special projects as assigned.Security Protocol Adherence: Adhere to security protocols and procedures to maintain a safe and secure environment. Verify the identity of clients, visitors, and vendors as necessary. Follow established procedures for access control, visitor registration, and badge issuance.
