- The Events/Operations Manager is responsible for planning, coordinating, and executing variety of events, ensuring seamless operations and exceptional experiences for participants.
- This role involves managing all aspects of event logistics, from initial concept through post-event analysis, and overseeing the operations team to ensure efficient and effective event delivery.
Key Responsibilities:
Event Planning and Coordination:
- Develop, plan, and execute a wide range of events, including corporate functions, conferences, seminars, trade shows, and social events.
- Collaborate with clients to understand their needs and objectives, and provide creative solutions to meet those requirements.
- Create detailed event plans, timelines, and budgets, and ensure adherence to these plans.
Logistics Management:
- Coordinate all logistical aspects of events, including venue selection, catering, transportation, accommodation, audiovisual requirements, and event materials.
- Negotiate and manage contracts with vendors, suppliers, and venues to secure the best terms and ensure quality service delivery.
- Oversee the setup, execution, and breakdown of events, ensuring all elements run smoothly and efficiently.
Team Leadership:
- Lead and manage the operations team, providing guidance, support, and motivation to ensure high performance and accountability.
- Delegate tasks effectively, monitor progress, and provide feedback to team members.
- Foster a collaborative and positive team environment, promoting continuous improvement and professional development.
Budget Management:
- Develop and manage event budgets, ensuring cost-effective use of resources and adherence to financial targets.
- Monitor expenses and financial performance, providing regular reports to senior management.
- Identify opportunities for cost savings and efficiencies without compromising event quality.
Stakeholder Communication:
- Maintain strong relationships with clients, stakeholders, and partners, ensuring clear and effective communication throughout the event planning and execution process.
- Provide regular updates to clients and senior management on event progress, issues, and outcomes.
- Address and resolve any issues or challenges that arise during the event planning and execution process.
Post-Event Evaluation:
- Conduct post-event evaluations to assess success and areas for improvement.
- Collect feedback from clients, participants, and team members, and use this information to enhance future events.
- Prepare detailed post-event reports and present findings to senior management.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field.
- 4 years Proven experience as an Events/Operations Manager or in a similar role.
- Strong organizational and multitasking skills, with the ability to manage multiple events and projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to build and maintain relationships with clients, vendors, and team members.
- Leadership and team management experience, with the ability to motivate and guide a diverse team.
- Strong negotiation and contract management skills.
- Proficiency in event management software and tools.
- Ability to work under pressure and handle challenging situations with professionalism and composure.
- Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
