At DOVEWELL OILFIELD SERVICES LIMITED, we are seeking a highly skilled and experienced Front Desk/Client Relations Officer to join our team. This role is responsible for providing exceptional customer service, managing client relationships, and ensuring seamless office operations.
Key Responsibilities:- Address client concerns promptly and professionally, ensuring high levels of customer satisfaction.
- Inform clients about company products, services, and promotions, building strong relationships and driving business growth.
- Manage vendor relationships, ensuring satisfactory services and timely payments.
- Revalidate personnel travel documents, ensuring compliance with regulatory requirements.
- Coordinate personnel crew changes and project-related activities, ensuring smooth office operations.
- Compose organizational articles, corporate letters, and essays, as well as update social media accounts, showcasing the company's expertise and thought leadership.
- Oversee and administer day-to-day office activities, developing policies, procedures, and systems to ensure efficient operations.
- Ensure organizational hierarchy is strictly adhered to, maintaining a positive and productive work environment.
- Provide assistance and support to personnel in problem-solving, project planning, and management, driving business growth and success.
- Supervise the work of employees in supporting roles, assigning workload and monitoring performance.
- Oversee resources management and administration procedures, ensuring compliance with regulatory requirements.
- Prepare non-routine letters and reports, handling sensitive and confidential information with discretion.
- Liaise with internal and external constituencies, ensuring effective communication and collaboration.
- Closing out NCDMB Certification, DPR, and OSP Registration and renewal, ensuring compliance with regulatory requirements.
- Organize and facilitate meetings, conferences, and special events, coordinating logistics and ensuring smooth execution.
- Provide administrative support to direct report managers and other colleagues, ensuring seamless office operations.
- Oversee the general appearance of the office, pantry, and public areas, maintaining a positive and professional image.
- Make copies, collate, bind, and staple documents and reports as needed, ensuring accurate and timely completion.
- Ensure knowledge of staff whereabouts and maintain accurate and complete sign-in/out procedures for on-site staff and consumers.
- Notify supervisors within 30 minutes of daily start time regarding staff absences/delays, updating and informing the Lagos office of same and related information.
- Adept at using all features of the telephone system and voicemail, ensuring seamless communication.
- Assist consumers/staff/visitors in parking properly at the main office location, ensuring a safe and secure environment.
- Maintain knowledge of current postal regulations and services frequently used by the organization, ensuring compliance with regulatory requirements.
- Prepare and process 100% of outgoing mail to the Lagos office or any other locations, ensuring timely and accurate completion.
- Answer customer enquiries about the company, products, and services, providing exceptional customer service.
- Set appointments, file records, and complete temporary work assigned by leadership or management, ensuring seamless office operations.
