Position Summary

The Executive Assistant to CEO is a strategic business partner responsible for managing the CEO's complex schedule, coordinating key business operations, and ensuring seamless execution of priorities across the organization. This role requires a highly organized, proactive professional who can anticipate needs, manage multiple high-priority workstreams, and serve as a trusted gatekeeper and liaison between the CEO and internal/external stakeholders.

You'll work directly with the CEO during a critical growth phase as Fernhill restructures operations, builds scalable systems, and positions for expansion. This is a high-impact role that values discretion, strategic thinking, and the ability to manage ambiguity while maintaining operational excellence.

What You'll Do

Calendar & Schedule Management

  • Manage the CEO's complex calendar including internal meetings, client meetings, speaking engagements, and strategic planning sessions
  • Proactively prioritize meeting requests, declining or rescheduling conflicts based on strategic importance
  • Coordinate scheduling across multiple time zones for international partnerships and collaborations
  • Prepare daily briefings with meeting agendas, background information, and required materials
  • Build in protected time for strategic thinking, project work, and personal commitments
  • Anticipate scheduling conflicts and resolve them before they become issues

Communication & Correspondence Management

  • Serve as primary point of contact between CEO and internal team, clients, partners, and external stakeholders
  • Monitor and manage CEO's email inbox, flagging urgent matters and drafting responses for routine correspondence
  • Handle WhatsApp communications, filtering messages and ensuring timely responses to priority contacts
  • Screen phone calls and determine which require immediate CEO attention versus delegation
  • Prepare professional correspondence, presentations, and reports on behalf of the CEO
  • Manage follow-up on action items from meetings and ensure nothing falls through cracks

Personal Brand & Public Profile Management

  • Research and coordinate speaking opportunities, panel discussions, and industry events that align with CEO's expertise and company positioning
  • Manage invitations to conferences, networking events, and business development opportunities
  • Collaborate with social media team to ensure CEO's personal brand content aligns with company messaging and strategic priorities
  • Coordinate media interviews, podcast appearances, and thought leadership opportunities
  • Maintain CEO's professional profiles (LinkedIn, industry platforms) in coordination with marketing team
  • Track and manage CEO's public engagements, ensuring consistent brand messaging across all platforms

Meeting Coordination & Support

  • Prepare comprehensive meeting briefs including agendas, objectives, attendee backgrounds, and relevant context
  • Attend key meetings to take notes, track action items, and ensure follow-through on commitments
  • Coordinate logistics for internal leadership meetings, client meetings, and board sessions
  • Prepare and distribute meeting minutes with clear action items and ownership
  • Follow up with stakeholders to ensure completion of assigned tasks and deadlines
  • Schedule and coordinate recurring team meetings, one-on-ones, and strategic planning sessions

Project & Operations Support

  • Support CEO in managing strategic initiatives including company restructuring, new service launches, and operational improvements
  • Track progress on key company priorities and provide status updates to CEO
  • Coordinate cross-functional projects requiring CEO input or decision-making
  • Maintain documentation of company processes, decisions, and strategic frameworks
  • Research and compile information for business decisions, proposals, and strategic planning
  • Support preparation of quarterly business reviews, financial reports, and investor materials

Travel & Logistics Coordination

  • Arrange complex domestic and international travel including flights, accommodations, ground transportation, and visa requirements
  • Prepare detailed itineraries with meeting schedules, contact information, and logistics
  • Coordinate travel for speaking engagements, conferences, client meetings, and business development activities
  • Handle last-minute travel changes and solve logistical problems efficiently
  • Manage expense reporting and reimbursements for business travel

Stakeholder & Relationship Management

  • Build and maintain relationships with key clients, partners, and industry contacts on behalf of the CEO
  • Coordinate CEO's participation in industry events, speaking opportunities, and networking activities
  • Manage relationships with external vendors, consultants, and service providers
  • Handle sensitive and confidential information with absolute discretion
  • Represent the CEO professionally in all interactions, maintaining brand reputation

Administrative & Operational Excellence

  • Maintain organized filing systems for contracts, agreements, and important business documents
  • Manage contract renewals, partnership agreements, and vendor relationships requiring CEO approval
  • Coordinate with finance team on invoicing, payments, and budget tracking
  • Support HR activities including recruitment scheduling, onboarding coordination, and team communications
  • Use Zoho Workplace to manage workflows, documentation, and team collaboration
  • Implement systems and processes that improve CEO's efficiency and effectiveness

What You'll Need

Essential Requirements:

  • Minimum 4-6 years of experience as an Executive Assistant, Chief of Staff, or similar role supporting C-level executives (experience supporting founders or CEOs in high-growth environments strongly preferred)
  • Exceptional organizational skills with proven ability to manage complex schedules, multiple priorities, and competing demands
  • High emotional intelligence and ability to read situations, anticipate needs, and respond appropriately
  • Strong written and verbal communication skills with ability to represent CEO professionally in all interactions
  • Absolute discretion and confidentiality - you'll handle sensitive business and personal information regularly
  • Proactive problem-solving mindset - you identify issues before they escalate and propose solutions independently
  • Strong proficiency in productivity tools (Google Workspace, Microsoft Office, calendar management systems)
  • Ability to work autonomously with minimal supervision while knowing when to escalate issues
  • Professional demeanor with polished presentation and communication skills
  • Flexibility to accommodate occasional evening or weekend work for urgent matters or events
  • Understanding of Nigerian business landscape and professional norms
  • Comfortable using WhatsApp as a primary business communication channel
