EXECUTIVE ASSISTANT

Location: Lagos

Work Structure: Hybrid

Job Summary

The Executive Assistant (EA) will provide high-level administrative, operational, and strategic

support to senior leadership. The ideal candidate is highly organized, proactive, resourceful, and

capable of handling confidential information with absolute discretion. This role requires strong

communication skills, exceptional time management, and the ability to work well under pressure

in a fast-paced environment.

Key Responsibilities

  1. Executive Support & Coordination

● Manage the executive's calendar, including scheduling appointments, meetings, travel,

and conferences.

● Prepare meeting agendas, take minutes, and follow up on action items.

● Coordinate internal and external meetings with stakeholders, clients, partners, and teams.

● Serve as the primary point of contact for internal and external communications addressed

to the executive.

  1. Administrative & Office Management

● Draft, review, and manage correspondence, reports, presentations, and other documents.

● Maintain an efficient file management system (electronic and hard copy).

● Track and organize office-wide administrative tasks related to the executive's workflow.

● Oversee procurement of office supplies and ensure smooth day-to-day administrative

support.

  1. Travel & Logistics Management

● Arrange and coordinate local and international travel itineraries.

● Manage logistics (transportation, accommodation, visas, event registrations, etc.).

● Prepare travel briefs, itineraries, and expense reports.

  1. Project & Task Management

● Assist in monitoring key company projects, timelines, and deliverables.

● Conduct research, compile data, and prepare briefing materials for the executive.

● Track operational priorities and ensure the executive stays on top of critical deadlines.

● Provide support in special projects and initiatives as assigned.

  1. Communication & Stakeholder Relations

● Draft professional emails, letters, and communications on behalf of the executive.

● Maintain positive relationships with clients, partners, and government agencies.

● Represent the executive in meetings when required.

● Manage sensitive and confidential information with integrity.

  1. Operational & Strategic Support

● Analyze data and prepare reports for decision-making.

● Support in internal communications to ensure alignment across teams.

● Identify needs and proactively propose solutions to optimize the executive's workflow.

● Assist with event planning (board meetings, retreats, workshops, conferences, etc.)

Qualifications & Requirements

Education

● Bachelor's Degree in Business Administration, Management, Social Sciences, or related

field.

● Additional certifications in Executive Assistance, Administration, or Project Management

are an advantage.

Experience

● 3–7 years of proven experience as an Executive Assistant, Personal Assistant, or similar

role supporting top-level executives.

● Experience working in Nigeria's corporate, NGO, or public-sector environment preferred.

Skills & Competencies

● Excellent written and verbal communication skills.

● Strong organizational and time-management abilities.

● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google

Workspace.

● Strong research and report-writing skills.

● Ability to multitask and prioritize efficiently.

● High level of discretion and professionalism.

● Strong interpersonal and relationship-management skills.

● Ability to work under pressure and meet deadlines.

● Problem-solving mindset with attention to detail.
