About the role:
The Executive Assistant has the overall responsibility of providing high-level administrative support to the MD/CEO, ensuring smooth day-to-day operations of the office. The individual serves as the primary point of contact for internal and external interactions on all matters pertaining to the organization and its subsidiaries; organizes and coordinates external relations efforts; overseas and works collaboratively with other team members.

The position requires an individual who is self-driven with minimal supervision, results oriented, with excellent attention to detail, and enjoys working within the real estate environment. The EA is expected to be highly organized, proactive, and capable of managing multiple priorities. This role requires a deep understanding of executive needs, exceptional communication skills, and the ability to handle sensitive and confidential information.

The Executive Assistant reports directly to the MD/CEO and must be able to work under pressure to handle a wide variety of activities with discretion.
Key Responsibilities:
• Manages a broad variety of administrative tasks for the MD/CEO including managing a calendar of appointments, preparing correspondence, maintaining an organized filing system, arranging travel plans, logistics and itineraries.
• Managing information and serving as a primary contact for internal and external interactions on all matters pertaining to the organization and its subsidiaries.
• Tactfully attending to clients’ requests/queries where necessary, especially in the absence of, or as directed by the MD/CEO.
• Organize and prepare for meetings, including gathering documents, setting up calls, and managing meeting logistics.
• Representing the organization in meetings as at when needed and preparing post meeting reports.
• Conducts research on property/ real estate market and assembles materials needed for proposals, wealth reports/publications and paper presentation.
• Serve as a liaison between MD/CEO and other departments, facilitating communication and ensuring prompt flow information on reporting lines.
• Process and track expenses, ensuring timely submission and adherence to company policies.
• Coordinates the replenishment of the MD/CEO’S office supplies such as stationeries and refreshments.
• Managing, maintaining and enhancing the overall working environment of the MD/CEO.
• Performing other duties and assignments as may be necessary.

Qualitications/Requirements:

• A bachelor’s degree or equivalent in a related field.
• Minimum of 2 years’ experience as an Executive Assistant supporting C-suite executives.
• Exceptional organizational and time-management skills.
• Strong written and verbal communication skills.
• Ability to prioritize tasks and adapt to shifting priorities.
• Proficiency in Microsoft office suite and other office management tools.
• Demonstrated ability to anticipate needs and proactively solve problems.
• Must be tech savvy and social media relevant with sufficient skills to take over the social media platforms of the organization.
• Can handle confidential and sensitive information with utmost discretion.
• Experience in real estate industry is a plus.
