
Front Desk Officer

We are seeking a professional and friendly Front Desk Officer to serve as the first point of contact for our company. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and a strong attention to detail. The Front Desk Officer will handle a variety of administrative duties, greet visitors, answer calls, manage appointments, and maintain the front office area. This is an essential role that contributes to a smooth and professional first impression for our clients and visitors.
Key Responsibilities:
1. Reception & Customer Service:
Greet and welcome guests, clients, and visitors in a courteous, friendly, and professional manner.
Direct visitors to the appropriate person or department and ensure a positive first impression of the company.
2.Phone Management:
Answer and direct phone calls, take messages, and ensure proper follow-up.
Provide general information about the company to callers and visitors.
3.Administrative Support:
Handle incoming and outgoing mail, packages, and deliveries.
Assist with scheduling meetings, conference room bookings, and travel arrangements.
Manage office supplies and inventory, ensuring timely reordering when necessary.
4,Data Entry & Documentation:
Maintain and update visitor logs, appointment calendars, and other records.
Perform basic data entry tasks, including filing, scanning, and maintaining electronic and paper documents.
5. Office Maintenance & Organization:
Ensure the front desk area and lobby are clean, organized, and welcoming.
Coordinate with cleaning staff to ensure the office is well-maintained.
6.Compliance & Safety:
Ensure visitors are signed in and out, following company security and safety protocols.
Assist with emergency procedures as needed, and report any issues to management.
