Responsibilities:

  • Greet and welcome guests, clients, and visitors in a courteous, friendly, and professional manner.
  • Direct visitors to the appropriate person or department and ensure a positive first impression of our organization.
  • Answer and direct phone calls, take messages, and ensure proper follow-up.
  • Provide general information about the company to callers and visitors.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist with scheduling meetings, conference room bookings, and travel arrangements.
  • Manage office supplies and inventory, ensuring timely reordering when necessary.
  • Maintain and update visitor logs, appointment calendars, and other records.
  • Perform basic data entry tasks, including filing, scanning, and maintaining electronic and paper documents.
  • Ensure the front desk area and lobby are clean, organized, and welcoming.
  • Coordinate with cleaning staff to ensure the office is well-maintained.
  • Ensure visitors are signed in and out, following company security and safety protocols.
  • Assist with emergency procedures as needed, and report any issues to management.
