We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at One Diverse Design in Yaba. This is a full-time onsite position that requires excellent communication, organizational, and time management skills.

The successful candidate will be responsible for managing the day-to-day operations of our office, providing administrative support to our team, and ensuring the smooth running of our business. Key responsibilities include:

Administrative Support
  • Providing administrative support to our team, including answering phone calls, responding to emails, and managing correspondence.
  • Managing and maintaining electronic and paper files, ensuring confidentiality and accuracy.
  • Developing and implementing effective filing systems, both physical and digital.
Office Management
  • Managing the day-to-day operations of our office, including maintaining supplies, managing the budget, and coordinating maintenance and repairs.
  • E nsuring our office is well-organized, tidy, and presentable at all times.
Scheduling and Coordination
  • Managing calendars, scheduling appointments, and coordinating meetings and events.
  • Ensuring timely and accurate communication with team members, clients, and stakeholders.
Travel Arrangements
  • Booking travel arrangements, including flights, hotels, and rental cars.
  • Preparing and managing travel itineraries, ensuring accuracy and attention to detail.
Special Projects
  • Assisting with special projects, including research, data entry, and document preparation.
  • Providing support for events, conferences, and meetings, including logistics, catering, and materials preparation.

The ideal candidate will have a minimum of an OND, HND or BSC degree and 2+ years of experience as a personal assistant, office assistant, or administrative assistant. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required, as well as excellent communication, organizational, and time management skills. A friendly, approachable, and professional demeanor is essential, along with the ability to work independently and as part of a team.
