Job Summary

The Procurement and Logistics Officer will be responsible for managing the end-to-end supply chain process, from sourcing and purchasing raw materials to the importation, storage, and distribution of finished goods. This role demands a strategic thinker with strong operational execution skills, deep knowledge of Nigerian import regulations, and a proven track record in vendor management and cost optimization.

Key Responsibilities

A. Procurement Functions:

  • Sourcing & Vendor Management:
  • Identify, evaluate, and select reliable suppliers and vendors for raw materials, packaging, and other goods required for manufacturing.
  • Develop and maintain strong relationships with local and international suppliers.
  • Conduct vendor performance reviews and manage contracts to ensure quality and service delivery.
  • Purchasing & Negotiation:
  • Process purchase requests and orders efficiently.
  • Negotiate favorable terms with suppliers, including price, quality, delivery, and payment terms, to achieve significant cost savings.
  • Ensure all procurement activities align with the company's budgetary constraints and strategic goals.
  • Procurement Planning:
  • Work with the production and inventory teams to forecast material requirements and ensure adequate stock levels to prevent production downtime.

B. Logistics & Supply Chain Functions:

  • Import Logistics & Customs Clearance:
  • Manage the entire import process, coordinating with international suppliers, freight forwarders, shipping lines, and clearing agents.
  • Prepare, verify, and process all import documentation (Form M, PAAR, SONCAP, etc.) in compliance with Nigerian Customs Service and other regulatory bodies.
  • Closely monitor shipments from origin to Nigerian ports (Apapa, Tin Can) and ensure timely clearance to avoid demurrage and port charges.
  • Warehouse & Inventory Management:
  • Oversee the receipt, storage, and issuance of raw materials and finished goods.
  • Implement and maintain effective inventory control systems to ensure accuracy and minimize stock-outs or overstocking.
  • Ensure proper warehouse management practices are followed to maintain product quality and safety.
  • Transportation & Distribution:
  • Plan and coordinate the in-country distribution of finished goods to distributors and customers.
  • Source and manage relationships with transport companies, negotiating cost-effective rates and ensuring reliable service.
  • Track shipments in transit and proactively resolve any logistical challenges such as delays, accidents, or regulatory issues.

C. General Duties:

  • Cost Management: Monitor and control procurement and logistics budgets, identifying and implementing cost-saving opportunities.
  • Compliance & Documentation: Ensure all procurement and logistics activities are fully documented and comply with company policies and Nigerian law.
  • Reporting: Prepare and present regular reports on procurement status, logistics performance, inventory levels, and cost analysis to management.

Qualifications and Experience

  • A Bachelor's degree or HND in Supply Chain Management, Business Administration, Economics, or a related field. Professional certification (e.g., CIPSM, CILT) is a strong advantage.
  • A minimum of 4 - 5 years of proven experience in a combined procurement and logistics role, specifically within a manufacturing or importation company in Nigeria.
  • Non-negotiable Requirement: In-depth, practical experience with end-to-end import procedures and Nigerian customs clearance (PAAR, Form M). Candidates must demonstrate this expertise.
  • Proven experience in vendor sourcing, negotiation, and contract management.
  • Strong existing network with suppliers, clearing agents, shipping lines, and transport companies.

  • Problem-Solving & Resilience: Ability to navigate the complexities and dynamic challenges of the Nigerian supply chain landscape.
  • High Attention to Detail: Critical for managing complex documentation, orders, and inventory records.
  • Strong Organizational & Planning Skills: To juggle multiple tasks, from purchasing to shipment tracking.
  • Effective Communication: Fluent in English (both written and spoken). Knowledge of Pidgin or other local languages is beneficial.
  • Integrity: Unquestionable ethics in handling vendor relationships and company resources.
  • Proficiency in Software: Competence in Microsoft Office Suite (especially Excel) and inventory/procurement software.
