Job Summary
A4&T Power Solutions is seeking a proficient Front Desk/Admin Officer to provide professional front-office services and administrative support across all subsidiaries, ensuring smooth daily office operations, positive stakeholder experience, proper documentation, and administrative efficiency.
Responsibilities
-Serve as the first point of contact for all visitors, clients, regulators, contractors, and vendors across group offices.
-Manage incoming and outgoing correspondence, ensuring prompt routing and professional communication.
-Maintain visitor registers, access control, and security coordination at the front desk.
-Ensure professional reception appearance, including meeting rooms, lobby, and common areas.
-Support administrative documentation, including filing, scanning, and archiving of staff and operational records.
-Assist with staff onboarding logistics (ID cards, workstation setup, welcome materials).
-Manage office supplies, stationery, consumables, and basic asset tracking.
-Coordinate meeting bookings, logistics, refreshments, and facility readiness.
-Support inter-departmental document movement across subsidiaries.
-Assist with travel arrangements and logistics for staff when required.
-Support HR/Admin Executive in documentation, confirmations, probation tracking, training logistics, and engagement activities.
-Ensure confidentiality of staff and company information at all times.
-Support HSE compliance by ensuring the reception area meets safety requirements.
-Assist in audit (regulatory / compliance agencies) visits, inspections, and regulatory visits logistics.
-Perform any other administrative duty assigned within the group.
Educational Qualifications & Experience
-Diploma or Bachelor's degree in Business Administration, Office Management, or a related field
-Minimum of 1–3years' experience in a front desk or administrative role
-Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
-Excellent verbal and written communication skills
-Strong organisational and time-management abilities
-Professional appearance and customer-service-oriented attitude
Certification
-
Certificate in Office Administration or Administrative Management (Is added advantage)
Skill

Attention to detail and accuracy
-Ability to multitask and prioritize tasks effectively
-Strong communication and customer service skills.
-Good command of MS Word, Excel, and Email tools.
-Well-presented, organized, discreet, and professional
