‎Role Description

‎Job Title: Executive Personal Assistant (EPA) to the CEO

‎Role Overview

‎The Executive Personal Assistant (EPA) to the CEO provides high-level administrative, operational, and strategic support to ensure the CEO's office runs efficiently and effectively. This role goes beyond traditional PA duties by integrating executive coordination, data insight support, digital systems assistance, and professional communication management. The EPA acts as a trusted partner and gatekeeper, enabling the CEO to focus on strategic leadership and organizational growth.

‎Key Responsibilities

‎1. Executive & Administrative Support

  • ‎Manage the CEO's calendar, appointments, travel arrangements, and meeting schedules
  • ‎Prepare meeting agendas, briefing documents, presentations, and reports
  • ‎Take accurate minutes and track action items to completion
  • ‎Handle confidential correspondence and sensitive information with discretion
  • ‎Act as the primary point of contact between the CEO and internal/external stakeholders

‎2. Data Analytics & Executive Reporting Support

  • ‎Compile, analyze, and present business data to support CEO decision-making
  • ‎Develop and maintain executive dashboards and performance trackers
  • ‎Prepare weekly, monthly, and quarterly insight reports
  • ‎Translate complex data into clear, concise executive summaries

‎3. IT & Digital Systems Coordination

  • ‎Support the CEO in managing digital tools and enterprise systems (CRM, HR, ERP, collaboration tools)
  • ‎Liaise with IT teams and vendors on system access, reporting, and basic troubleshooting
  • ‎Ensure accuracy, availability, and confidentiality of executive-level data
  • ‎Assist in automating reports and workflows where possible.

‎4. Communication & Social Media Support (CEO-Focused)

  • ‎Draft and manage professional communications on behalf of the CEO
  • ‎Support the CEO's social media and digital presence (e.g., LinkedIn thought leadership posts)
  • ‎Track engagement analytics and prepare simple performance summaries
  • ‎Ensure alignment between CEO messaging and organizational strategy.

‎5. Strategic Coordination & Special Projects

  • ‎Support cross-functional and CEO-led initiatives
  • ‎Conduct research on market trends, competitors, and strategic opportunities
  • ‎Coordinate leadership meetings, retreats, and strategy sessions
  • ‎Follow up with teams to ensure execution of CEO directives.

‎Required Qualifications & Skill

  • ‎Bachelor's degree in Business Administration, Information Systems, Data Analytics, or a related field.
  • ‎3 years' experience supporting a CEO or senior executive in a PA, operations, or analyst role.
  • ‎Strong executive support skills with excellent organization, communication, and discretion.
  • ‎Advanced proficiency in Excel/Google Sheets and reporting or dashboard creation.
  • ‎Hands-on experience with digital tools (Zoho, CRM/ERP, project management systems,).
  • ‎Solid understanding of IT workflows, automation, and process optimization.
  • ‎Highly proactive, analytical, detail-oriented, and able to work independently under pressure
