Role Overview

We are seeking a proactive and highly organized Line Manager to oversee and build our Virtual Assistant Department. This person will manage daily operations, lead our team of virtual assistants, and ensure clients receive top-tier executive support.The ideal candidate has hands-on virtual assistant experience, excellent people management skills, and the ability to create efficient systems and workflows. They should also be resourceful, detail-oriented, and capable of handling multiple priorities at once.

Key Responsibilities

  • Oversee the daily operations of the Virtual Assistant Department.
  • Recruit, train, and supervise a team of virtual assistants.
  • Assign and track tasks, ensuring accuracy and timely completion.
  • Maintain smooth communication between management, clients, and the VA team.
  • Handle administrative management and executive support functions, including calendar coordination, email management, and document organization.
  • Conduct detailed research and prepare reports when needed.
  • Ensure a high level of professionalism and client satisfaction.
  • Develop and implement SOPs (Standard Operating Procedures) to improve team efficiency.

Required Skills & Qualifications

  • Proven experience as a Virtual Assistant, Executive Assistant, or Administrative/Operations Manager.
  • Strong leadership, delegation, and team management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with productivity tools such as Google Workspace, Notion, Slack, Trello, and Zoom.
  • Strong research and transcription skills.
  • Highly organized with great attention to detail.
  • Strong interpersonal and relationship management skills.
  • Ability to multitask, prioritize, and thrive in a fast-paced environment.
