Job Summary

The
Accounts Receivable Executive (Invoicing)
will be responsible for the accurate and timely preparation of customer invoices in line with company policies and client contracts. The role involves coordinating with the Sales, Operations, and Finance teams to verify billing details, monitor outstanding payments, and maintain up-to-date receivable records.

Key Responsibilities

  • Prepare and issue accurate customer invoices based on approved bookings, contracts, and sales orders.
  • Verify invoice details, including rates, discounts, taxes, and supporting documents, before posting.
  • Ensure all invoices comply with company policies, client requirements, and statutory regulations.
  • Record invoices in the accounting system and dispatch them through email, client portals, or physical delivery.
  • Coordinate with Sales, Operations, and Marketing teams to resolve discrepancies or obtain missing billing details.
  • Maintain and update the invoice tracker for billed and unbilled accounts.
  • Follow up on rejected or disputed invoices to ensure prompt resolution.
  • Prepare and submit invoicing reports for management review.
  • Support month-end closing by ensuring all invoices are accurately processed.
  • Assist in customer account reconciliations and maintain updated balances.

Skills and Competencies

  • Strong attention to detail and accuracy.
  • Sound knowledge of invoicing and accounts receivable processes.
  • Proficiency in MS Excel and accounting systems (FACTS or similar ERP preferred).
  • Good communication and interpersonal skills.
  • Strong time management and organizational abilities.
  • Ability to work independently and maintain professionalism.

Qualifications

  • Bachelor's degree in Accounting, Finance, or Commerce.
  • Minimum of
    2–4 years of relevant experience
    in accounts receivable or invoicing (preferably in the travel, tourism, or service industry).
  • Familiarity with travel management billing or airline/hotel invoicing systems is an advantage.
  • Professional qualification or ongoing study with
    ICAN, ACCA, or related bodies
    will be an added advantage.
