About the Role

We are seeking a highly organised and proactive Executive Assistant to support the Founder/CEO with day-to-day coordination, task oversight, planning, communication management, and light bookkeeping. This role requires someone detail-oriented, reliable, resourceful, and able to manage multiple priorities across several business interests.

Key Responsibilities

Executive Support

  • Manage daily schedules, priorities, and calendar appointments
  • Coordinate meetings, calls, travel arrangements, and logistics
  • Prepare briefing notes, summaries, reminders, and follow-ups
  • Handle confidential information with discretion

Task & Project Management

  • Track ongoing projects and ensure deadlines are met
  • Assist in planning, organising, and monitoring business activities
  • Maintain task lists, action plans, and progress reports
  • Liaise with internal team members and external partners

Communication & Coordination

  • Manage emails, messages, and communication flow
  • Draft correspondence, announcements, and internal updates
  • Represent the CEO professionally when required

Bookkeeping & Admin Support

  • Assist with expense tracking and basic accounting entries
  • Maintain digital and physical records
  • Coordinate vendor payments, receipts, and documentation

Personal Executive Assistance (when needed)

  • Occasional personal errands tied to business workflow
  • Support during events, presentations, and travel

Requirements

  • 2–5 years of experience as an Executive Assistant, Administrative Manager, or Operations Coordinator
  • Strong organisational and multitasking skills
  • Excellent written and verbal communication
  • Proficiency in productivity tools (Google Workspace, Excel, task platforms)
  • Ability to work independently and anticipate needs
  • Professional demeanour and strong confidentiality ethics
  • Must be willing and able to travel when required
