Job Summary
The Admin & Facility Manager is responsible for ensuring that the firm's physical infrastructure, assets, and resources are effectively managed, maintained, and optimized. This role oversees building operations, ensures compliance with health and safety standards, coordinates maintenance activities, and manages vendor relationships to maintain a safe, functional, and efficient office environment that supports the firm's daily operations.
Key Responsibilities
Oversee daily facility operations to maintain a safe, clean, secure, and fully functional work environment.
Develop and implement schedules for routine maintenance, inspections, sanitation, and equipment servicing.
Manage utilities (electricity, water, HVAC, plumbing, waste disposal) to ensure uninterrupted operations.
Monitor facility conditions and resolve maintenance or operational issues promptly.
Coordinate and supervise external contractors to ensure timely, cost-effective, and high-quality repairs.
Conduct routine inspections of building structures, electrical systems, plumbing, HVAC units, and office equipment.
Maintain an updated inventory of tools, materials, supplies, and office assets.
Ensure full compliance with health, safety, environmental, and building regulations.
Maintain and regularly test safety equipment, and coordinate emergency drills and response efforts.
Manage vendor relationships, enforce service-level agreements, negotiate contracts, and validate invoices.
Support sustainability initiatives by recommending energy-saving and waste-reduction measures.
Plan and optimize office layouts; oversee relocations, renovations, and setup activities.
Prepare concise reports on facility activities, maintenance updates, safety issues, and incident logs.
Communicate effectively with staff, vendors, contractors, and management on facility policies and procedures.
Required Competencies
Strong knowledge of building systems (HVAC, plumbing, electrical).
Excellent organizational and project management skills.
Ability to manage budgets and control costs efficiently.
Strong vendor negotiation and management experience.
Solid understanding of health, safety, and environmental regulations.
Excellent verbal and written communication skills.
Physical Requirements
Ability to inspect facilities, including climbing, bending, and standing for extended periods.
Availability to respond to after-hours emergencies when required.
Qualifications and Experience
Bachelor's degree in any related field.
Professional certification in Facility Management (e.g., IFMA, BIFM).
A minimum of 5 years of experience in facility management or a similar role.
