Healthcare Operations Manager

Position Summary
The Practice Manager is a key leadership role responsible for the overall administrative, operational, and financial success of our multi- facility physiotherapy outpatient clinics. This individual will ensure seamless day-to-day operations across all locations while driving strategic initiatives for growth, efficiency, and superior patient care. The ideal candidate is a proactive leader, a skilled problem-solver, and an effective communicator who can manage complexity and inspire a multi- site team.
Key Responsibilities
1. Strategic Leadership and Business Development:
Develop and execute strategic business plans to achieve company goals for growth, profitability, and market share.
- Analyze market trends and identify opportunities for service expansion, new clinic locations, or community partnerships.
- Lead marketing and community outreach initiatives to increase brand awareness and patient referrals across all locations.
- Foster a culture of continuous improvement, professionalism, and patient-centered care.
- Financial Management and Performance:
- Own the P&L responsibility for all clinic locations, including budgeting, forecasting, and financial reporting.
- Monitor key performance indicators (KPIs) such as revenue, expenses, patient visits, utilization rates, and accounts receivable.
- Implement and manage billing and coding protocols to ensure maximum reimbursement and compliance with payer regulations.
- Analyze financial data to identify trends, address variances, and implement corrective actions.
- Multi-Site Operations Management:
- Standardize and optimize operational policies and procedures across all clinics to ensure consistency and efficiency.
- Oversee facility management, including maintenance, supplies, equipment procurement, and IT systems. Ensure all clinics comply with federal, state, and local regulations, as well as accreditation standards (e.g., HIPAA, OSHA). Manage vendor relationships and negotiate contracts for services and supplies.
- Human Resources and Team Leadership
- Lead, mentor, and manage clinic directors and administrative staff across all locations.
- Oversee the recruitment, onboarding, training, and performance management of administrative personnel.
- Collaborate with clinical directors on staffing models, therapist schedules, and support staff needs to ensure optimal clinic flow.
- Foster a positive, collaborative, and high-performance work environment.
- Patient Experience and Clinical Support:
- Champion an exceptional patient experience from first contact through discharge, ensuring high patient satisfaction scores (e.g., NPS).
- Develop and monitor systems for patient scheduling, registration, and communication.
- Address and resolve patient complaints or concerns in a timely and professional manner.
Support the clinical team by ensuring they have the resources, equipment, and administrative support needed to deliver outstanding care.
Qualifications and Experience
- Bachelor's degree in business administration, healthcare administration, or a related field.
- Minimum of 5 years of management experience in a multi-site healthcare outpatient setting (e.g., physical therapy, occupational therapy, chiropractic, ambulatory surgery center).
- Proven track record of financial management, including P&L responsibility, budgeting, and driving revenue growth.
- In-depth knowledge of healthcare billing, coding (CPT/ICD-10), and reimbursement processes (including Medicare and private payers).
- Strong understanding of healthcare compliance, including HIPAA.
- Exceptional leadership, communication, and interpersonal skills.
- Proficiency with EMR/EHR systems and practice management software. Preferred:
- Master's degree in Business Administration (MBA) or Healthcare Administration (MHA).
- Direct experience in a physiotherapy or rehabilitative service setting.
- Experience with clinic start-ups, mergers, or acquisitions.
