The Procurement Officer is responsible for sourcing, evaluating, negotiating, and procuring equipment and materials for clients in a timely, cost-effective, and efficient manner. The role ensures compliance with company procurement policies and maintains strong relationships with vendors, suppliers, and manufacturers to meet client needs.

Key Responsibilities

  1. Procurement & Sourcing

  2. Identify and evaluate reliable suppliers and equipment manufacturers.

  3. Obtain quotes, compare pricing, and negotiate favorable terms.

  4. Ensure that procured equipment meets client specifications and industry standards.

  5. Vendor & Supplier Management

  6. Build and maintain strong relationships with local and international suppliers.

  7. Conduct vendor assessments and maintain an updated supplier database.

  8. Monitor supplier performance to ensure timely delivery and quality.

  9. Equipment Acquisition for Clients

  10. Liaise with clients to understand equipment requirements.

  11. Provide equipment options, specifications, and cost estimates.

  12. Manage purchase orders, invoicing, and contract documentation.

  13. Logistics & Delivery Coordination

  14. Coordinate shipment, customs clearance, and delivery of equipment.

  15. Track orders and ensure timely arrival of goods.

  16. Handle logistics challenges and provide updates to clients.

  17. Compliance & Documentation

  18. Prepare procurement reports, purchase orders, and approval documents.

  19. Ensure compliance with internal procurement processes and external regulations.

  20. Maintain accurate and updated procurement records.

  21. Market & Price Analysis

  22. Monitor market trends, pricing changes, and new equipment technologies.

  23. Conduct cost-benefit analysis and recommend the best procurement options.

  24. Risk & Quality Management

  25. Ensure all equipment meets quality standards before delivery.

  26. Identify procurement risks and recommend mitigation strategies.

  27. Client Communication & Support

  28. Provide regular updates to clients on procurement progress.

  29. Respond promptly to client inquiries regarding pricing, availability, or delays.

JOB REQUIREMENTS

Bachelor's degree in Procurement, Supply Chain Management, Business Administration, Engineering, or a related field.

Professional Certification (Added Advantage)

CIPSMN, CIPS, or other procurement/supply chain certification.

HSE certification (optional, depending on industry).

Proximity to Surulere is a Plus

Experience

Minimum of 2–3 years' experience in procurement, supply chain, or equipment sourcing.

Experience procuring technical or construction/oil & gas equipment is an added advantage.

Skills & Competencies

Strong negotiation and vendor management skills.

Excellent knowledge of procurement processes and documentation.

Ability to read and understand equipment specifications.

Strong analytical and market research skills.

Good communication and interpersonal skills.

High attention to detail and accuracy.

Ability to manage multiple procurement requests at once.

Competence in Microsoft Office (Excel, Word, PowerPoint).

Knowledge of logistics, importation, and shipping processes (added advantage).
