Job Summary
The Executive Assistant is responsible for providing high-level strategic and administrative support to the Founder/CEO, enabling effective leadership and the smooth execution of Tikera Africa's initiatives across creative enterprise, education, and international partnerships. The role combines calendar and communication management, project coordination, stakeholder engagement, and research support. The ideal candidate is highly organized, detail-oriented, and capable of delivering excellence while safeguarding leadership focus and vision.
Key Responsibilities
1. Executive & Administrative Support (Primary Focus)
- Manage the Founder's calendar, travel, and workflow to prioritize key engagements.
- Draft, edit, and manage correspondence, communications, and inbox follow-ups professionally.
- Provide personal administrative support, including reminders and wellness scheduling.
- Ensure deadlines for priority tasks are met with minimal supervision.
2. Meetings & Coordination
- Organize and facilitate meetings—prepare agendas, record minutes, and track action items.
- Coordinate logistics for workshops, board sessions, conferences, and external events.
- Serve as a liaison between the Founder, internal teams, partners, and stakeholders to ensure clear communication.
3. Documentation & Reporting
- Maintain accurate project files, agreements, and stakeholder records.
- Draft and refine reports, presentations, proposals, and briefing notes.
- Prepare weekly and monthly reports summarizing priorities, progress, and challenges.
4. Research & Project Support
- Conduct research on creative enterprise, cultural policy, and education reform.
- Assist in preparing grant proposals, funding reports, and program deliverables.
- Track timelines, budgets, and project tools to ensure alignment with organizational goals.
5. Professionalism & Stakeholder Management
- Represent the Founder and Tikera Africa with professionalism and care in all interactions.
- Maintain confidentiality and discretion in handling sensitive information.
- Achieve high satisfaction from stakeholders through timely, accurate, and thoughtful support.
Key Requirements
- Bachelor's degree in Business Administration, Management, Arts Administration, or related field.
- 3–5 years of experience supporting senior executives or leadership teams.
- Strong organizational, communication, and interpersonal skills.
- Proven ability to manage multiple priorities, deadlines, and confidential matters.
- Proficiency with office software (Google Workspace, Microsoft Office) and digital communication tools.
- Professional demeanor, discretion, and attention to detail.
- Passion for African culture, creativity, and impact-driven work.
