VACANCY: HEAD OF ADMINISTRATION

About the Role

We are looking for a highly experienced Head of Administration to oversee and coordinate all administrative, logistics, facility, fleet, and site operations across the company. The ideal candidate must be organized, proactive, and capable of managing people, processes, and multiple locations efficiently.

Key Responsibilities General Administration

  • Oversee daily administrative operations across departments and project sites.
  • Develop, implement, and review administrative policies and procedures.
  • Ensure proper documentation, filing, and record-keeping systems.

Drivers & Fleet Management

  • Supervise and coordinate all company drivers.
  • Monitor vehicle movements, ensure compliance with safety procedures, and keep proper logs.
  • Oversee vehicle maintenance, servicing schedules, and reporting of faults.
  • Ensure cost-effective management of company cars, fuel usage, and route planning.

Security Management

  • Supervise internal security personnel and manage outsourced security vendors.
  • Ensure the safety of staff, company assets, facilities, and project sites.
  • Conduct periodic security assessments and implement corrective actions.
  • Liaise with security agencies when necessary.

Site Administration / Facility Management

  • Oversee administrative activities at all company sites and offices.
  • Manage building maintenance, utilities, equipment servicing, and general facility upkeep.
  • Ensure workspaces, yards, warehouses, and construction sites operate smoothly.
  • Coordinate logistics, office supplies, and materials procurement for site use.

Staff Coordination

  • Supervise admin officers, site admin staff, security personnel, and drivers.
  • Allocate tasks, monitor performance, and ensure adherence to company standards.

Logistics & Operations Support

  • Coordinate staff travel, accommodation, and transport logistics.
  • Manage vendors and service providers, ensuring cost efficiency and quality service.
  • Support HR and Finance with administrative components of operations.

Reporting

  • Prepare periodic admin, fleet, security, and facility reports for management decision-making.
  • Track administrative budgets and ensure cost control.

Requirements

  • Bachelor's degree in Business Administration, Management, or related field.
  • 7–10 years' experience in administration, facility management, or operations.
  • Experience managing drivers, security personnel, and multi-site operations.
  • Strong leadership, coordination, and communication skills.
  • Ability to multitask and manage pressure in a fast-paced environment.
  • Proficiency in MS Office and admin management tools.
