Front Desk Receptionist

Role Summary
As our Front Desk Receptionist, you will be the face and voice of our clinic. You will be responsible for ensuring a seamless and positive patient experience from the moment they call or walk in, while also managing key administrative duties that keep the clinic running smoothly.
Key Responsibilities
- Greet, check-in, and check-out patients in a warm, professional, and timely manner.
- Answer all incoming phone calls to schedule, reschedule, or confirm patient appointments.
- Manage the clinic's appointment schedule, optimizing for patient flow and doctor's time.
- Register new patients, ensuring all medical history and insurance forms are completed accurately.
- Respond to patient inquiries (in-person, phone, and email) regarding services, appointments, and billing.
- Maintain and manage patient records with a high degree of confidentiality and accuracy.
- Assist patients with billing, process payments, and manage co-pays.
- Maintain a tidy, organized, and welcoming reception area.
- Perform clerical duties such as data entry, filing, and scanning using Microsoft Word and Excel.
Required Qualifications & Skills
- Technology Fluency: Proficient in Microsoft Office Suite (especially Word and Excel) and comfortable learning new software.
- Communication: Excellent command of the English language (both written and verbal).
- Literacy: Strong literacy skills, with the ability to handle professional correspondence and patient records.
- Discretion & Empathy: Must be able to handle sensitive patient information with absolute confidentiality and interact with patients in a caring and empathetic manner.
- Organization: Exceptional multitasking and time-management skills, with a keen attention to detail.
- Professionalism: A positive attitude, professional appearance, and the ability to remain calm and efficient in a fast-paced environment.
Preferred Qualifications (Added Advantage)
- Sales/Service Skills: Experience in a service-oriented role. The ability to clearly explain treatment plans or payment options to patients is a significant advantage.
- Previous experience in a medical or dental office.
- Familiarity with dental scheduling software.
