Personal Assistant to Executive Director

Job Summary: The role involves providing administrative support to the EDHR&CS, working with multiple stakeholders, and managing calendars, meetings, and correspondence.
The job holder will be responsible for:
- Managing the EDHR&CS calendar, scheduling meetings, and prioritizing tasks.
- Developing and maintaining effective working relationships with internal and external stakeholders.
- Providing executive support with meeting preparation, organization, and logistics.
- Scheduling meetings between the ED HR & CS and their direct reports and committees.
- Collating and preparing papers, correspondence, and reports.
- Attending to internal and external telephone calls, correspondence, and requests.
- Coordinating divisional meetings, preparing agendas, and taking minutes.
- Organizing business travel arrangements and processing expenses.
- Working collaboratively with other PAs to ensure smooth department operations.
- Ensuring the ED's office setup is appropriate and equipment is properly maintained.
- Identifying opportunities for efficient and effective PA support models.
- Providing general admin support to the HR & CS Division.
Context and Environment:
- The EDHR&CS's office is highly sensitive and characterized by high-level confidential activities.
Requirements:
- A First Degree in Arts or Social Sciences with 3 years of experience.
- Knowledge of standard office administrative practices and procedures.
- Excellent organizational, planning, multitasking, and prioritization skills.
- Good communication and interpersonal skills.
- Proficient IT skills in Microsoft Teams and Office applications.
- Ability to work independently and as part of a team.
- Confident, proactive, self-motivated, and organized approach.
- High level of discretion, diplomacy, and judgment when dealing with confidential information.
