We are seeking a highly skilled Executive Assistant to provide exceptional administrative support to our CEO, driving business success through efficient calendar management, meeting coordination, and correspondence handling.

Key Responsibilities:
  • Calendar Management: Effectively manage the CEO's schedule, ensuring timely meetings, appointments, and travel arrangements.
  • Meeting Coordination: Prepare comprehensive meeting agendas, take minutes, and follow up on action items in a timely manner.
  • Communication: Serve as the primary point of contact between the CEO and internal/external stakeholders, ensuring seamless message exchange and professional communication.
Project Management Expertise:
  • Project Oversight: Maintain detailed project files, including contracts, design concepts, client specifications, meeting notes, and corresponding documentation.
  • Timeline Management: Accurately document and track project timelines, milestones, and deadlines, notifying relevant teams of upcoming deadlines and required actions.
Office Administration:
  • Organizational Skills: Establish and maintain an efficient digital and physical filing system for all active and completed projects, ensuring easy access to documents.
  • Liaison Role: Collaborate with external vendors and service providers for office-related needs, such as supplies, maintenance, and IT support.
  • Office Operations: Handle routine office tasks, including receiving guests, answering phones, managing mail, ordering supplies, and ensuring smooth office functions.
Requirements and Qualifications:
  • Education: Bachelor's degree in Business Administration, Interior Design, or a related field (preferred).
  • Experience: 2-3 years of experience in an executive assistant, office manager, or administrative support role, ideally in the interior design, architecture, or creative industries.
Essential Skills:
  • Project Management: Proven experience in project management or document management systems.
  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Software Familiarity: Familiarity with project management tools (e.g., Trello, Asana, Monday.com) and document management software.
