
Administrative Support Specialist

The Executive Assistant to the Managing Director is responsible for providing high-level administrative support, managing the Managing Director's schedule, facilitating communication with internal and external stakeholders, and ensuring the smooth operation of daily activities.
Key Responsibilities:- Administrative Support: Manage and maintain the Managing Director's calendar, appointments, and meetings, ensuring efficient time management. Prepare and edit correspondence, presentations, reports, and other documents for the Managing Director. Handle confidential information with discretion and ensure all documents are appropriately filed and organized.
- Communication & Coordination: Act as the primary point of contact between the Managing Director and internal/external stakeholders. Draft and respond to emails, letters, and inquiries on behalf of the Managing Director. Coordinate and communicate effectively with department heads, franchisees, and other business units.
- Project Management: Assist in planning and executing strategic projects and initiatives. Monitor deadlines and progress of key projects, providing updates and reports to the Managing Director. Conduct research and compile data to support decision-making processes.
- Meeting Management: Schedule, organize, and prepare materials for meetings, including agenda preparation and minute-taking. Follow up on action items to ensure tasks are completed on time.
- Travel Arrangements: Arrange and coordinate domestic and international travel for the Managing Director, including flight bookings, accommodations, and itineraries. Ensure all travel plans align with the Managing Director's schedule and organizational priorities.
- Operational Support: Support the Managing Director in managing and monitoring the implementation of CleanAce's ERP system and other operational tools. Provide assistance in addressing operational challenges across branches and departments. Act as a liaison between the Managing Director and operational teams to ensure alignment with company objectives.
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum of 5 years of experience in an Executive Assistant or similar role, preferably within the Fabricare or service industry.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with ERP systems.
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Excellent problem-solving skills and attention to detail.
- Discretion and ability to handle confidential information professionally.
