Job Purpose

Ensure the proper implementation of the Area HR, Administration, and IT functions, to deliver value-added services that reflect the business objectives of the Area, in close collaboration with Group HR and in compliance with internal policies, codes of ethics & conduct, and legal requirements.

Job Duties

Area Administration Activities

  • Ensure proper implementation of the of Area Administration plans in coordination with the Managing Director and Group Manager: Human Resources, and maintain related Area policies, procedures, and systems.
  • Handle all administrative activities to support smooth business operations.
  • Coordinate occurring legal issues and law cases with the Managing Director; partner with qualified legal advisors and ensure proper follow-up.
  • Oversee the expatriates' affairs operations and ensure its adherence to established guidelines, policies, and procedures.
  • Administer all facility management activities pertaining to rentals, furniture, maintenance, housekeeping, and security of company premises in the Area.
  • Handle employees and labour accommodation and transportation, and oversee camps and lands arrangements, ensuring they are done in alignment with set health and safety standards.
  • Build and maintain positive relationships with key external stakeholders in the best interest of the company.
  • Handle the preparation, documentation, update, submission, filing, and archiving of records pertaining to the administrative function.
  • Prepare periodic statistical reports to the Management for informed decision-making.

Area Human Resources Management Activities

  • Maintain pay plans in close alignment with Group HR by supporting in job evaluations, pay budgets, and implementing Group pay structure revisions.
  • Analyse staffing needs received from the Management and handle the recruitment and selection processes using established channels and procedures.
  • Coordinate with Group HR for the proper implementation, and operation of the HCMS and provide the needed support in terms of employees' data updates when necessary.
  • Administer activities related to time management, compensation, and benefits, performance, discipline, grievances, etc., in alignment with Area regulations and company policies.

Area Insurance Activities

  • Ensure that policies issuances and renewals are placed and issued on time with Insurance Manager at the Central Support Office (CSO).
  • Coordinate with the Finance division and monitor the payments of policies issuances/renewals, endorsements, cancelation after calculating the necessary premiums and refunds.
  • Support the Insurance Manager (CSO) in policies issuances and renewals, from gathering all Area required information that are prerequisite for issuances/renewals, requests for quotations from suppliers, perform and submit accurate comparison sheets.

Employee Wellbeing and Safety Activities

  • Promote HR programs within the company to create an efficient working environment, preserving the well-being and safety of employees.
  • Prepare internal communications in terms of announcements, memos, social events, safety measures, etc. to drive employee engagement and promote a communication culture.

Area Information Technology Operations

  • Ensure implementation of the Area IT strategy in coordination with the Managing Director and Group Manager: IT Operations, and maintain related policies, procedures, and controls.
  • Coordinate all IT operations and requirements with concerned members including data management, data links, operating systems (updates, upgrades & migration), security tools, network, applications, servers, email systems, telephone system, CCTV, computer software and hardware to ensure smooth business operations.
  • Ensure implementation of Cybersecurity policies and procedures to mitigate risk as well as regularly provide the needed awareness to Area users on Cybersecurity threats.
  • Keep management updated on activities and developments in the IT department as well as provide support when required.

General

  • Carry out other similar duties that can be defined within the broad functional job and functional responsibilities outlined above and as instructed by the immediate manager.

Qualifications

  • Bachelor's Degree in HR Management or Business Administration.
  • Masters and/or HR Certification is a plus.
  • Minimum 5 years of HR & Administrative experience.
  • Sound knowledge of Nigeria, Labour Law, and governmental legislations.
  • Sound knowledge in Management Information Systems & IT Operations.
  • Sound knowledge in Human Resources Information systems.
  • Excellent command of English & Arabic. French is a plus.
  • Excellent computer skills.
