Job Description

  • Our client is looking for an experienced Administrative Officer to be part of their team and ensure smooth administrative operations.
  • The right candidate should have top-notch organizational skills, great attention to detail, and the capacity to handle multiple tasks effectively.
  • As an Administrative Officer, you will have a key role in supporting the organization's administrative requirements, making sure all tasks are finished accurately and promptly.

Responsibilities

  • Offer administrative assistance to senior management by managing calendars, organizing travel and accommodations, coordinating meetings, and handling various tasks
  • Schedule meetings and document meeting minutes for senior management
  • Oversee the company's Excel-based action items and follow up with the team to ensure completion of assigned tasks
  • Lead the organization of both physical and virtual events
  • Provide administrative support to different departments including document management, meeting scheduling, and fulfilling daily department needs
  • Manage daily office operations such as facility management, inventory control, and procurement of supplies
  • Act as a primary contact for both internal and external communications through calls, emails, and in-person interactions
  • Coordinate with external vendors and service providers to negotiate contracts, resolve issues, and guarantee timely delivery of goods and services

Requirements

  • Demonstrated dedication and eagerness in performing administrative tasks to ensure operational effectiveness. Possession of a Bachelor's Degree in Business Administration, Management, or a related field is a plus
  • Minimum 10-15 years of experience in an administrative capacity
  • Excellent organizational and time management abilities
  • Strong communication and interpersonal skills coupled with a professional demeanor
  • Proficient in Microsoft Office Suite, particularly in Excel and other relevant applications
  • Detail-oriented with a high level of accuracy in work
  • Proactive problem-solving skills and the capacity to work both independently and collaboratively
  • Adept at multitasking and prioritizing tasks
  • Capability to maintain confidentiality and exercise discretion in handling sensitive data
