Job Summary

We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to our Managing Director. The successful candidate will be responsible for managing the MD's schedule, facilitating communication with internal and external stakeholders, and ensuring the smooth operation of daily activities.

Main Responsibilities
  • Administrative Support: Manage and maintain the MD's calendar, appointments, and meetings, ensuring efficient time management. Prepare and edit correspondence, presentations, reports, and other documents for the MD.
  • Communication & Coordination: Act as the primary point of contact between the MD and internal/external stakeholders. Draft and respond to emails, letters, and inquiries on behalf of the MD.
  • Project Management: Assist in planning and executing strategic projects and initiatives. Monitor deadlines and progress of key projects, providing updates and reports to the MD.
  • Meeting Management: Schedule, organize, and prepare materials for meetings, including agenda preparation and minute-taking.
  • Travel Arrangements: Arrange and coordinate domestic and international travel for the MD, including flight bookings, accommodations, and itineraries.
  • Operational Support: Support the MD in managing and monitoring the implementation of CleanAce's ERP system and other operational tools.
Required Skills and Qualifications
  • Exceptional Organizational and Time Management Skills: The ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
  • Strong Written and Verbal Communication Skills: Excellent communication skills, both written and verbal, to effectively interact with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with ERP systems.
  • Discretion and Confidentiality: The ability to handle confidential information professionally and maintain discretion when dealing with sensitive matters.
